Executive Administrative Assistant (Contract)

Summary
This position provides high-level administrative and operational support to senior leadership within a dynamic, fast-paced global organization. The successful candidate will serve as a trusted partner and key point of contact, managing complex scheduling across multiple time zones, coordinating extensive travel logistics, and driving operational planning activities. This role demands exceptional professionalism, sound judgment, and the ability to navigate competing priorities while maintaining confidentiality and executive presence. The individual will work closely with internal and external partners to ensure seamless coordination of meetings, events, and strategic planning cycles, while also supporting day-to-day team operations and special projects that drive organizational effectiveness.
Job Responsibilities
- Manage complex, high-volume executive calendars across multiple time zones with constant reprioritization and alignment to leadership priorities
- Partner with internal and external administrative professionals to coordinate meetings, resolve scheduling conflicts, and ensure agendas and attendees are fully aligned
- Serve as a primary point of contact between senior leadership and stakeholders at all organizational levels
- Plan and manage detailed domestic and international travel itineraries, including last-minute changes and contingency planning
- Coordinate executive participation in summits, offsites, customer engagements, and leadership events
- Process expense reports and ensure accurate, timely reconciliation
- Support operational planning activities and planning cycles across the organization
- Build and manage operational cadence in partnership with business management teams
- Execute meeting cadences, prepare agendas, track follow-ups, and ensure operational alignment across quarterly and annual planning cycles
- Manage day-to-day team operations, including space management, onboarding, procurement, and distribution list ownership
- Lead and support special projects and initiatives across leadership organizations
- Track commitments, follow-ups, and communication flows to ensure organizational clarity and alignment
Requirements
- Minimum of 2 to 4 years of experience providing administrative support to senior leadership at the director level or above
- Demonstrated success managing complex, high-volume executive calendars and travel logistics
- Proven track record of supporting senior-level stakeholder interactions and maintaining professional relationships
- Experience with operational planning frameworks and business rhythms
- Advanced proficiency with calendar and scheduling systems
- Expertise in expense management and procurement systems
- Mastery of document and communication tools including email, collaboration platforms, spreadsheets, and presentation software
- Exceptional written and verbal communication skills with executive presence
- Strong organizational and time management abilities with attention to detail
- Ability to exercise mature judgment and maintain strict confidentiality
- Proactive problem-solving skills and ability to anticipate needs
- Flexibility and adaptability in a fast-paced, constantly changing environment
- Strong interpersonal skills and ability to build effective working relationships across all organizational levels
Additional Details

- Pay Range*: $31 - $35 per hour
- Weekly Schedule: 40 hours
- Job Status: Non-Exempt
