ORGANIZATIONAL SUMMARY:
Girls on the Run International is a nonprofit organization dedicated to creating a world where every girl knows and activates her limitless potential and is free to boldly pursue her dreams. We inspire girls across the United States and Canada to be joyful, healthy and confident using a fun, experience-based curriculum which creatively integrates running. As a physical activity-based positive youth development program, our evidence-based curriculum is designed to enhance girls’ social, psychological and physical skills and behaviors to successfully navigate life experiences.

POSITION SUMMARY:
Reporting directly to the SVP of Human Resources and Belonging and consistent with the mission of Girls on the Run International, the Executive Assistant is responsible for supporting the CEO and chief level staff with key administrative functions. The position also monitors general organizational communication channels, ensuring inbound phone calls, mail, and email messages are forwarded to the appropriate staff members to address.

Executive Support
- Coordinate all logistics for in-person board meetings, executive events, and staff meetings including securing space, food, travel, and hotel accommodations
- Schedule and oversee the execution of virtual meetings, including board, committee, departmental and all-staff meetings
- Prepare and distribute agendas, PowerPoint presentations, project summaries and other materials for in-person and virtual board meetings, all-staff meetings, and executive events
- Attend board meetings, board committee meetings, all-staff meetings, and other select executive-level meetings, drafting and distributing minutes and oversee necessary follow-up actions
- Elevate presence of CEO and Chief Program Officer on LinkedIn by recommending and drafting authentic, relevant, and timely posts
- Coordinate events for CEO, including speaking engagements, team-building activities, and partner meetings, ensuring seamless execution of all logistics
- Compose and prepare emails, letters, and notecards on behalf of the CEO for volunteers, councils, alumni, donors, and partners
- Serve as a point of contact and liaison between the CEO and internal/external constituents as needed
- Provide administrative support to chief level staff, including expense management, time allocation tracking, printing, and mailings, as needed
- Manage chief-level calendars, coordinating meetings, conferences, and related travel arrangements
- Work closely with departments to secure relevant data and reports for chief-level staff to support decision-making processes
- Working closely with the CEO, coordinate and support board member onboarding and orientation, ensuring timely access to materials, meetings, and key information
Organizational Support
- Monitor info@ email account, general phone line, and crisis hotline, providing prompt responses or forwarding to appropriate staff
- Support CEO and Sr. VP of Human Resources and Belonging with all staff appreciation initiatives
- Provide support in planning, executing, and monitoring key projects, working collaboratively with cross-functional teams to ensure success
- Monitor virtual mailbox and distribute items as appropriate
- Coordinate recurring and ad hoc mailings in support of organizational operations
- Coordinate select organizational recognition and appreciation efforts, including communications, logistics, and fulfillment
- Maintain and update recurring organizational trackers and reports

- Communicate in a timely manner in a way that that reinforces clarity, trust, and connectedness
- Serve as a role model, embodying Girls on the Run core values and working to achieve the mission
- Develop positive relationships with staff, board members, volunteers, national partners, key donors, and community members
- Any other duties deemed necessary by the SVP of Human Resources and Belonging, CEO and/or Board of Directors
- Impeccable organizational and project management skills with proven ability to maintain attention to detail while managing and prioritizing a varied workload
- Exceptional written and verbal communication skills
- High level of emotional intelligence with an ability to keenly listen, build trust, and relate to a wide variety of constituents in a meaningful manner
- High degree of self-motivation

- Sound judgment, professionalism and a positive attitude

- Ability to travel as needed for meetings and special events (10-15% of time. Note: most travel to Charlotte and Asheville, NC)
QUALIFICATIONS:
- A minimum of 3 years of experience providing executive support to C-level executives
- Proficiency in Microsoft Office Suite and other relevant tools/software
This is a remote, non-exempt, full-time position at 40 hours per week, offering a compensation range of $54,000-58,000 depending on experience.
