As we continue to expand our market presence, we are seeking a detail-oriented and motivated Inside Sales Assistant to support our sales operations. This role plays a key part in maintaining organized sales processes, supporting distributor and account relationships, and ensuring smooth communication between sales, operations, and customer service teams.
Position Summary
The Inside Sales Assistant provides administrative and operational support to the sales team by managing sales documentation, coordinating communications, maintaining customer and distributor records, and assisting with order processing and follow-ups. This role is essential to ensuring efficient sales workflows and a high level of professionalism in all customer interactions.
The ideal candidate is organized, proactive, and comfortable working in a fast-paced, relationship-driven environment. This position requires strong communication skills, attention to detail, and the ability to manage multiple tasks while supporting revenue-generating activities.
Key ResponsibilitiesSales Support and Coordination
- Provide daily administrative support to inside and field sales representatives.
- Assist with preparing sales materials, proposals, pricing sheets, and presentations.
- Track sales activities, leads, and follow-ups to ensure timely responses and account engagement.
- Support sales initiatives, product launches, promotions, and special programs.
Order Processing and Account Support
- Assist with order entry, verification, and coordination with operations or fulfillment partners.
- Ensure orders are accurate, complete, and processed in accordance with company policies and state regulations.
- Communicate order status updates to customers, distributors, or internal teams.
- Help resolve order discrepancies, shipping issues, or billing questions in coordination with customer service and finance teams.
Customer and Distributor Relationship Support
- Serve as a point of contact for distributors, retailers, hospitality partners, and internal sales staff.
- Respond to inquiries regarding products, availability, pricing, and promotional materials.
- Maintain professional, responsive communication with customers and partners.
- Assist in nurturing long-term relationships by supporting consistent follow-ups and account maintenance.
CRM and Data Management
- Maintain accurate and up-to-date records in customer relationship management (CRM) systems.
- Enter and update customer information, sales notes, pricing agreements, and account details.
- Generate sales reports and dashboards for management review.
- Support data cleanup, organization, and accuracy initiatives.
Sales Reporting and Analytics
- Assist in compiling sales reports, forecasts, and performance summaries.
- Track key metrics such as order volume, customer activity, and sales pipeline status.
- Provide administrative support for monthly, quarterly, and annual sales reporting.
- Help identify trends or opportunities through organized data tracking.
Marketing and Promotional Support
- Coordinate with marketing teams to distribute promotional materials, samples, or brand assets.
- Assist with tracking promotions, pricing programs, and sales incentives.
- Support trade shows, tastings, virtual events, or distributor programs through scheduling and documentation.
- Ensure promotional materials align with brand and regulatory guidelines.
Compliance and Documentation
- Assist with maintaining sales documentation in compliance with alcohol industry regulations.
- Ensure proper documentation is retained for distributor agreements, pricing approvals, and sales records.
- Support compliance requirements related to sales territories, shipping restrictions, and distribution laws.
- Maintain organized records for audits, reviews, or regulatory inquiries.
Cross-Functional Collaboration
- Work closely with operations, finance, compliance, and customer service teams to ensure smooth sales execution.
- Coordinate internal communication regarding inventory availability, delivery schedules, and customer needs.
- Support internal process improvements related to sales workflows and efficiency.
Qualifications and ExperienceRequired Qualifications
- High school diploma or equivalent required; associate or bachelor’s degree in business, sales, marketing, or a related field preferred.
- 1–3 years of experience in inside sales, sales support, customer service, or administrative roles.
- Strong organizational skills and attention to detail.
- Proficiency with Microsoft Office or Google Workspace applications.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
Preferred Qualifications
- Experience in the beverage alcohol, food and beverage, hospitality, or consumer goods industry.
- Familiarity with CRM systems such as Salesforce, HubSpot, or similar platforms.
- Knowledge of sales processes, order management, or distributor relationships.
- Experience supporting remote or distributed sales teams.
