Job Description: The Project Administrative Assistant position will provide a dual role with a full range of administrative support and some project-related duties for the Organized Customer Group (OCG) Lead, Team Leaders and team. Responsibilities include some project coordination and management responsibilities with limited supervision. PA should be able to multi-task in a variety of situations and respond in a timely manner to changes in priorities. PA also will be responsible for maintaining confidential Pharmaceutical files/information and coordination with other internal support functions.
Administrative Assistant Responsibilities (70%):
Provide day-to-day meeting management support including calendar management, meeting logistics (e.g. securing rooms, food, AV equipment, troubleshooting and resolving any issues)
Handle full spectrum of travel arrangements (i.e. research/book flights, hotels, and ground transportation; cross-site access, passport and visa documents) and itineraries including contingency planning and ad hoc issues management, and expense reporting (i.e., creating and submitting expense reports; gathering receipts and charge details, Client reconciliation)
Handle all logistical needs related to onboarding a new colleague and ensuring they have the tools and resources to start in a timely fashion.
Provides other administrative support for facility requests, office supplies etc as needed.
Independently identify and respond to daily issues that arise; proactively identify resources needed to perform job responsibilities.
Develop understanding of routine aspects of the business and reply to inquiries not requiring supervisors direct attention.
Liaise with administrative partners within organization (Field and Headquarters and other regional commercial Client).
Project-related Responsibilities (30%):
Assist and manage special projects as assigned. Work collaboratively with groups across NAMA including work stream groups and leadership to develop and manage progress against projects and project proposals if and when needed, to support the goals of assigned teams.
Reports to Organized Customer Group Lead within I&I North America Medical Affairs
Collaborates with stakeholders across Pharmaceutical including Finance, Global and regional medical affair teams, Field Based Medical, Pharmaceutical Country Offices (PCOs), Legal, WMS
