Overview:
The Administrative Assistant is the first point of contact for clients and callers, ensuring a welcoming and delightful experience. This role involves managing the front desk, providing administrative support to the financial advisors, and facilitating effective communication across the organization.
Key Responsibilities:
- Greet and welcome clients, ensuring a positive first impression.
- Answer, screen, and direct incoming phone calls and messages.
- Manage scheduling, contact lists, and appointment coordination.
- Perform administrative tasks including filing, photocopying, data entry, and document archiving (both physically and digitally).
- Maintain a clean and organized reception area.
- Order and manage office supplies and equipment.
- Process incoming and outgoing mail and deliveries.
- Coordinate travel arrangements and accommodations.
- Support meeting room bookings and logistics.
- Assist with operational needs, internal communication, and help execute client-facing events.
- Contribute to marketing efforts including client communication, social media support, and promotional materials.
- Complete ad-hoc projects and tasks as requested.
