We are growing fast because the impact is real. Now we are hiring a high-level Executive Assistant to support our founder and help us serve more people — without chaos.
This is not an entry-level admin job.
This is a high-trust, high-ownership mission role.
You will work directly with founder and neuroscientist-coach Gaia Forlani.

The Role — Why This Position Exists
Your mission is to protect the Founder’s focus so she can concentrate on high-value sales and coaching conversations only.
You handle everything before and after the sales call.
You own:
- inbox flow
- DM and comment responses
- calendar control
- lead intake conversations
- call confirmations
- follow-ups
- onboarding communication
You act as:
- gatekeeper
- intake coordinator
- communication filter
- conversion support operator
You ensure:
- No important message is missed
- No qualified lead is ignored
- No inbox becomes a public to-do list
- No calendar is hijacked by noise
This role is US East Coast time-zone aligned because most of our prospects are in the United States.
Key ResponsibilitiesInbox & Communication Ownership
- Manage 100% of the Founder’s email inbox
- Read, triage, label, route, and respond on her behalf
- Draft warm, professional, on-brand replies
- Filter noise and low-priority requests
- Flag only decision-critical messages
- Follow up until loops are closed
Calendar & Sales Call Protection
- Fully manage Google Calendar
- Schedule and confirm assessment and sales calls
- Protect priority time blocks
- Coordinate across time zones
- Prepare meeting context and links
- Handle reschedules efficiently
Lead Intake & Setting (Using Our Script + Software)
- Respond to inbound interest via:
- Instagram DMs
- Facebook messages
- Comments
- Email inquiries
- Use our structured conversational script
- Guide prospects toward:
- Watching the masterclass
- Booking assessment calls
- Taking the correct next step
- Log and track conversations in our intake software
- Follow up with warm leads
- Escalate qualified prospects to booked calls
Before-Call & After-Call Flow
Before calls
- Send confirmations and instructions
- Ensure prospects are prepared
- Share required links and materials
After calls
- Send follow-up emails
- Share next steps
- Support onboarding communication
- Coordinate internal handoff
Client & Community Communication
- Respond to client logistical questions

- Monitor comments and DMs
- Reply to positive and curious engagement
- Encourage qualified prospects to watch the masterclass
- Hide abusive or spam comments
- Route meaningful inquiries internally
Travel & Logistics
- Book flights and hotels when needed
- Prepare itineraries
- Handle changes calmly
Operational Support
- Organize documents and threads
- Perform light research tasks
- Improve communication flow
- Reduce friction wherever possible

Requirements
- Must live in US East or Central time zone
- Fluent English (written + spoken)
- 3+ years experience as Executive Assistant, Senior VA, or Operations Support
- Proven inbox & calendar ownership
- Comfortable handling lead conversations
- Excellent written communication
- High emotional intelligence and discretion
- Strong judgment — able to say “no” on behalf of leadership
- Extremely detail-oriented
- Tech-savvy (Google Workspace + AI tools)
- Able to work independently with full ownership
- Bonus: coaching, health, or mission-driven company experience
