About the Role
I’m hiring an A-player Sales Ops Executive Assistant to be my right hand and run the operating system behind my sales schedule. I run ~10 calls/day and need someone who can fully own calendar + inbox + Salesforce hygiene + follow-up execution so I can stay focused on high-leverage work (sales calls, closing, strategy).
This is not a generic VA role. This is an operator role with a high standard: Inbox Zero daily and same-day completion(no backlog).
Key ResponsibilitiesInbox Management (Outlook)
- Daily inbox triage and organization
- Draft email responses for approval when needed
- Maintain Inbox Zero daily (or near-zero by agreed standard)
Calendar & Scheduling Ops (Calendly + Outlook + Zoom)
- Book, reschedule, and cancel meetings end-to-end
- Ensure every meeting has correct details (time zone, Zoom link, title, notes)
- Execute confirmations and follow-up workflows to reduce no-shows
Salesforce Operations (Required)
- Log calls, update records, and maintain pipeline hygiene
- Ensure stages, notes, tasks, and next steps are accurate and completed same-day
- Ensure every lead/opportunity has a next action scheduled
- Handle Salesforce-based ops/admin tasks (except payments — I handle those)
Internal Operations
- Daily communication via Slack
- Task management via Asana
- Submit/track occasional requests (Zendesk)
Daily Definition of Done (SLA / Performance Standard)
By end of day:
- Outlook inbox is cleared to Inbox Zero
- Calendar is accurate (no missed scheduling steps)
- Salesforce is current: calls logged, stages correct, tasks and next steps set
- End-of-day recap sent in Slack: completed / exceptions only / items needing approval
Requirements (Non-Negotiable)
- Proven Salesforce experience (real hygiene: call logging, tasks, stages, notes, next steps)
- Strong Outlook inbox + calendar management experience
- High urgency, accuracy, and follow-through (same-day completion standard)
- Excellent written communication
- Comfortable working independently and proactively
- Must meet CST overlap requirement (8:30am–7:00pm CST; can be split blocks)
Nice to Have
- Experience supporting a founder or sales leader in a high-volume environment
- RevOps / Sales Ops background
- Zendesk familiarity
