We are seeking a professional and organized Secretary/Receptionist to join our team. Duties
- Greet visitors and clients at the front desk with professionalism and courtesy
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools
- Handle data entry, filing, and document proofreading to ensure accuracy and organization
- Maintain office supplies inventory and order necessary materials
- Assist with bookkeeping tasks using QuickBooks or similar software
- Provide customer support via phone, email, or in person, ensuring excellent service standards
- Support office management activities including organizing files, managing correspondence, and supporting administrative projects
- Perform clerical duties such as typing, photocopying, and maintaining records with high attention to detail
Experience
- Previous office experience or administrative support roles preferred
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with multi-line phone systems and front desk operations is desirable
- Familiarity with QuickBooks or bookkeeping software is a plus
- Bilingual abilities are advantageous for communicating with diverse clients
- Strong organizational skills with the ability to manage multiple tasks efficiently
- Excellent phone etiquette and customer service skills required
- Experience in medical or dental receptionist roles is beneficial but not mandatory
- Personal assistant or office management experience will be considered an asset
- Typing speed of at least 50 words per minute preferred
