We are seeking a professional and organized Secretary/Receptionist to join our team. Duties

Greet visitors and clients at the front desk with professionalism and courtesy
Manage multi-line phone systems, screen calls, and direct inquiries appropriately
Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools
Handle data entry, filing, and document proofreading to ensure accuracy and organization
Maintain office supplies inventory and order necessary materials
Assist with bookkeeping tasks using QuickBooks or similar software
Provide customer support via phone, email, or in person, ensuring excellent service standards
Support office management activities including organizing files, managing correspondence, and supporting administrative projects
Perform clerical duties such as typing, photocopying, and maintaining records with high attention to detail

Experience

Previous office experience or administrative support roles preferred
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Experience with multi-line phone systems and front desk operations is desirable
Familiarity with QuickBooks or bookkeeping software is a plus
Bilingual abilities are advantageous for communicating with diverse clients
Strong organizational skills with the ability to manage multiple tasks efficiently
Excellent phone etiquette and customer service skills required
Experience in medical or dental receptionist roles is beneficial but not mandatory
Personal assistant or office management experience will be considered an asset
Typing speed of at least 50 words per minute preferred
