About the Role
We are seeking a senior-level Executive Assistant to act as an operational partner to a highly mobile founder managing multiple businesses, investments, and growth initiatives.
This is not a traditional administrative or virtual assistant role.
This position is for someone who thrives on ownership, judgment, and structure, and who enjoys being the stabilizing force behind a fast-moving executive. The right candidate will reduce friction, protect focus, and build repeatable systems that allow the founder to operate at a high level across locations and projects.

Core Responsibilities (Ownership-Based)
You will own the following areas end-to-end:
- Inbox & Calendar Authority
- Filter communications
- Prioritize requests
- Schedule strategically to protect executive focus
- Travel & Short-Term Stay Logistics
- Coordinate flights, ground transport, and Airbnbs
- Build repeatable travel and transition systems
- Follow-Up & Commitment Tracking
- Ensure deals, conversations, and obligations are closed looped
- Maintain accountability across people and projects
- Relationship & CRM Management
- Track professional relationships and touchpoints
- Support networking and deal flow organization
- Vendor & Contractor Coordination
- Act as primary operational point of contact
- Reduce executive involvement in logistics
- Systems & Documentation
- Create SOPs, templates, and checklists
- Continuously improve operational efficiency
- Light Content Operations Support
- Coordinate filming windows
- Liaise with editors or freelancers as needed
Employment & Travel Model
- Primarily remote
- Optional, planned travel (typically 3–7 days per month when required)
- Travel is purposeful (onboarding, transitions, launches, content sprints)
- This is not a live-in or constant-travel role
Required Experience & Skills
Must-Have:
- 5+ years supporting a founder, CEO, or senior executive
- Excellent written and verbal communication
- Strong judgment and discretion
- CRM familiarity
- Proven ability to operate independently
- Experience managing inboxes, calendars, and logistics at scale
Nice-to-Have:
- Startup or entrepreneurial environment experience
- Operations or project management background
- Content or marketing coordination exposure

Pay: $75,000.00 - $100,000.00 per year
