The Role
We are seeking a highly organized and proactive Executive Assistant to provide strategic and administrative support to a member of the C-suite. This individual must possess exceptional discretion, communication skills, attention to detail, and strategic foresight.
As a key member of the executive support function, this role will manage executive priorities, oversee complex calendar planning, coordinate high-level meetings and communications, and assist with cross-functional initiatives that drive organizational goals. Some weeks may focus on executive communications or event planning, while others will center around strategic projects and business operations.
The ideal candidate is self-motivated, professional, and highly organized—someone who thrives in a fast-paced environment, anticipates needs, and operates with a high degree of independence.
Responsibilities
- Provide comprehensive administrative support including calendar management, travel coordination, inbox/communication management, and expense reporting.
- Own complex scheduling across internal and external stakeholders, ensuring high-priority meetings stay protected and organized.
- Coordinate executive, leadership, and company-wide meetings, including:
- Preparing materials
- Managing communications and timelines
- Ensuring smooth execution and follow-through
- Attend meetings to capture detailed notes, action items, decisions, and next steps, and ensure accountability across stakeholders.
- Lead and track cross-functional initiatives and special projects, ensuring timely completion and follow-up.
- Serve as a liaison between the executive and internal/external stakeholders with professionalism, polish, and discretion.
- Support client-facing logistics and communication, including hospitality planning, vendor coordination, and relationship management.
- Build, edit, and manage spreadsheets and lightweight quantitative tracking (budgeting, timelines, task lists, priorities, project trackers).
- Assist with operational planning, vendor management, and select budgeting / admin functions.
- Support executive branding and communications by helping:
- Draft and edit social media posts
- Create and edit light multimedia content (video clips, images, presentation-style assets)
- Leverage modern tools (Canva, AI editors, basic video tools, etc.) to produce fast, high-quality work
Qualifications
- 2–5+ years supporting C-level executives, founders, or senior leaders in a fast-paced environment.
- Advanced proficiency in Google Workspace (Docs, Sheets, Slides) and/or Microsoft Office.
- Strong comfort with spreadsheets and quantitative work (tracking metrics, managing budgets, building operational templates).
- Excellent organizational skills with the ability to manage multiple workstreams without dropping details.
- Exceptional written and verbal communication skills.
- Strong judgment and confidence interacting with internal and external stakeholders.
- Upbeat, polished, and presentable, comfortable representing the executive in front of clients.
- Highly responsive and dependable; thrives under ambiguity and fast-moving priorities.
- Ability to handle sensitive information with discretion and professionalism.
- Willingness to travel for meetings, events, and offsites as needed.
Pay Range: $65,000 - $75,000
