Overview
We are seeking a dynamic and highly organized Office Manager/Personal Assistant to join our team! Duties
- Oversee daily office operations, including front desk management, multi-line phone systems, and clerical tasks such as filing and bookkeeping
- Manage calendars, schedule appointments, meetings, and coordinate travel arrangements for executives and staff
- Supervise administrative staff and provide training & development to enhance team performance
- Handle vendor management by negotiating contracts, processing invoices via QuickBooks, and maintaining positive vendor relationships
- Plan and coordinate company events, meetings, and team-building activities to boost morale and collaboration
- Assist with human resources functions including onboarding new employees, maintaining personnel records, and supporting payroll processing
- Maintain medical office management procedures if applicable, ensuring compliance with health regulations and efficient patient or client flow
Requirements
- Proven experience in office management or administrative roles with strong clerical background
- Supervising experience with the ability to lead a team effectively
- Proficiency in QuickBooks for bookkeeping, payroll, and budgeting tasks
- Excellent organizational skills with keen attention to detail in filing, calendar management, and document handling
- Strong communication skills paired with professional phone etiquette for front desk interactions and client communications
- Experience in event planning and vendor management to coordinate logistics seamlessly
- Knowledge of human resources processes including training & development practices
- Ability to manage multiple priorities efficiently in a fast-paced environment
- Familiarity with medical office management or healthcare settings is a plus
