We’re seeking a fully remote, RFP Support & Business Operations Assistant (Contract) to support business development and operational initiatives for approximately 5–10 hours per week.
This contractor will play a critical support role across the agency, supporting business development, operations, and day-to-day execution. Responsibilities include RFP opportunity management, response assembly, customization, and submission coordination using an established, reuse-heavy process, as well as prospecting support, CRM maintenance, follow-up communications, and operational task management.
The RFP Support & Business Operations Assistant is a self-directed, highly organized contractor who thrives in a deadline-driven environment and takes ownership of their responsibilities without day-to-day oversight. This role requires someone who can manage multiple moving pieces, communicate proactively, and deliver polished, compliant work on time.
Collaborating internally with leadership and cross-functional partners, your ability to manage timelines, organize information, execute within defined systems, and communicate clearly will be essential to supporting the agency’s continued growth. This role is well-suited for a contractor who enjoys execution, structure, and accountability in a people-first agency environment.
Job Responsibilities
- Evaluate, track, and manage state and local RFP/RFQ/RFI opportunities, including opportunity qualification, timelines, key dates, and submission requirements
- Assemble, customize, format, and prepare proposal responses using existing templates, approved content, and reuse-heavy materials, ensuring accuracy, consistency, and compliance
- Manage the end-to-end solicitation submission process, including drafting and submitting clarification questions, tracking and organizing official responses, registering for and attending information sessions when required, and ensuring all required forms, attachments, and certifications are complete
- Prepare and assist in the submission of final response packages 48–72 hours in advance of deadlines, maintaining organized records of submitted proposals and supporting documentation
- Support business development efforts through prospect meetings, follow-up communications, touchpoint tracking, and occasional outbound call support
- Schedule appointments, coordinate and attend meetings with prospective clients and internal stakeholders
- Maintain and update CRM systems and related opportunity and activity tracking
- Assist with Zapier automation setup, monitoring, troubleshooting, and documentation to support operational efficiency
- Contribute to workflow improvements and light process documentation as systems evolve
- Prepare documents, spreadsheets, and internal reports as needed
- Proofread client content and proofs as needed
- Perform general operational and administrative tasks to keep internal systems organized and up to date
Requirements
- Strong virtual communication skills, with the ability to engage prospective clients on calls with warmth, clarity, and a people-first approach while representing the company professionally.
- Demonstrated experience supporting state and local government RFP/RFQ/RFI processes (required), including opportunity tracking, timeline and compliance management, clarification question submission, and response coordination
- Hands-on experience with RFP assembly, customization, and submission management using reuse-heavy templates and approved content (this is not a proposal strategy or net-new writing role)
- Strong proficiency in Google Workspace (Docs, Sheets, Slides, Gmail, Calendar, and Forms) including document formatting, collaboration, and version control
- Ability to work efficiently within a systemized proposal process, leveraging templates, existing copy, and supporting tools (including AI-assisted drafting where appropriate)
- Familiarity with CRM systems and opportunity tracking
- Experience supporting prospecting, follow-up communications, appointment setting, and basic sales operations
- Working knowledge of Zapier or similar automation tools for basic workflow setup, monitoring, and documentation
- Ability to manage multiple priorities within a limited weekly hour allocation (approximately 5–10 hours per week)
- Reliable access to the tools, systems, and internet connectivity required to work independently as a contractor
