Job Overview
I am seeking a reliable, detail-oriented Virtual Assistant to support several of my companies. My work spans design, project management, property management, and ongoing development of internal systems. This position can be fully remote with flexible, as-needed hours. The ideal candidate is highly organized, proactive, and comfortable working across multiple workflows, including bookkeeping, financial tracking, project coordination, landlord support, design sourcing, and light marketing coordination.
Marketing support may include organizing content, assisting with basic updates, communicating with outside marketing vendors, or helping prepare materials for websites, listings, or client presentations. You do not need to be a marketer, but the ability to support marketing tasks and keep communication flowing will be valuable.
This role is perfect for someone who enjoys variety and can shift easily between administrative tasks, financial tracking, operational support, and light creative coordination.
Responsibilities
- Enter expenses and maintain accurate bookkeeping records
- Assist with cash-flow tracking, reconciliation, and financial organization
- Support project tracking for design and construction projects
- Assist with sourcing materials, products, and vendor options
- Prepare invoices and help with payment coordination
- Make occasional phone calls on my behalf
- Provide administrative support for property management tasks, including tenant communication and scheduling when needed
- Support light marketing coordination such as organizing content, gathering materials, or communicating with marketing vendors
- Assist with preparing documents, presentations, and listings as needed
- Maintain organized digital files, documents, and task lists
- Support ongoing operational needs across several businesses as they arise
Requirements
- Strong organizational skills and excellent attention to detail
- Ability to manage multiple tasks with clarity, accuracy, and follow-through
- Experience with bookkeeping and basic financial tracking
- Professional communication skills, both written and verbal
- Comfort making occasional calls to vendors, tenants, or clients
- Ability to support basic marketing coordination such as organizing assets or assisting with vendor communication
- Comfort working independently and managing shifting priorities
- Strong computer proficiency and ease with cloud-based systems
- Reliability and discretion when handling confidential information
- Experience in design, construction, real estate, or property management is helpful but not required
Hours and Compensation
- Flexible, remote, as-needed hours
- Workload will vary weekly depending on active projects
- Compensation based on experience
