Seeking a highly organized, autonomous, and detail-oriented Virtual Executive Assistant (EA) to become my strategic right-hand.
You will primarily support Buybird Acquisitions, managing heavy email volume, complex scheduling, and administrative tasks within the M&A process. In the near future, you will also play a role in organizing and supporting the launch of a new high-ticket business coaching program.
This is an ideal role for someone with administrative experience in finance, M&A, real estate, or business coaching who can manage complex workflows with discretion.
About Me/The Role:
I own Buybird Acquisitions (buybirdacq.com), which helps individuals find ideal businesses, facilitates private lending, and manages LOI negotiations at this time. However, beginning 2026 I will pivot into high-level coaching for businesses making $1M+. I am also the General Manager of The Financial Game Planner (thefinancialgameplanner.com), which offers bookkeeping and tax services.
Key Responsibilities:
- Complex Email & Calendar Management (Primary Focus): Manage heavy email traffic from Buybird Acquisitions clients, lenders, and partners. Act as a gatekeeper, prioritize inquiries, draft professional responses, and manage a dynamic, multi-time zone calendar.
- M&A Administrative Support: Organize and track communications related to business acquisitions, loan facilitation, meetings, and LOI processes.
- Document Management: Assist with drafting and organizing correspondence and documents related to LOIs and client onboarding.
- Coaching Program Support (Future): As we launch the coaching program in 2026, assist with administrative setup, client onboarding organization, and general program support.
- General Task & Project Coordination: Maintain digital task lists and ensure all workflows across both businesses proceed efficiently.
What You Bring:
- Proven experience (2+ years) as an Executive Assistant supporting executives in a finance, M&A, real estate, or high-level consulting environment.
- Exceptional organizational skills and the ability to manage a high volume of complex information with professionalism and integrity.
- Proficiency in modern digital tools (e.g., Google Workspace/Gmail/Calendly, Go High Level, Zoom, Ring Central, Google Spreadsheets).
- Strong attention to detail, proactive initiative, and the ability to work independently.
- A high level of professionalism and discretion is paramount.
Details & Compensation:
- Role Type: Part-Time (Estimated 50-100 hours per month, flexible schedule)
- Location: Fully Remote
- Compensation: Competitive monthly rate of $2,500 USD/month (commensurate with experience and exact hours/scope).
