Role OverviewThe Executive Assistant serves as the CEO’s operational force multiplier — ensuring the CEO stays focused on the highest-value strategic priorities by taking ownership of scheduling, communication, project coordination, investor logistics, and internal alignment across teams.
This role requires precision, discretion, speed, and proactive problem-solving. You must thrive in an environment that is dynamic, high-stakes, and deeply creative.
Key ResponsibilitiesCEO Support & Executive Operations- Manage and optimize a constantly shifting calendar with investors, partners, board members, production teams, clients, and internal leadership.
- Proactively anticipate the CEO’s needs, priorities, and upcoming deadlines — creating structure, clarity, and focus.
- Coordinate complex travel (domestic and international), meetings, offsites, and production-related logistics.
- Prepare briefing notes, background packets, talking points, and agendas for meetings.
Communication & Stakeholder Management- Serve as the CEO’s primary point of contact for internal team members, investors, talent, production partners, and executives across entertainment and tech.
- Draft and manage professional communications, follow-up emails, investor updates, and internal memos.
- Maintain highest confidentiality around sensitive company, personal, financial, and production information.
Project Coordination- Track progress and deliverables across key initiatives:
- – Commercial production timelines
- – SaaS development milestones
- – Investor commitments
- – Strategic partnerships
- – Marketing/PR campaigns
- Ensure follow-through on next steps and help move projects forward without the CEO’s direct involvement.
Investor & Board Support- Assist with data rooms, fundraising materials, SAFE agreements, and investor scheduling.
- Maintain investor CRM, follow-up cadence, and tracking of commitments.
- Coordinate board meetings, prepare packets, ensure timely distribution of updates.
Creative & Production Support (As Needed)- Assist with logistics for shoots, talent coordination, and vendor management.
- Support the CEO in organizing scripts, treatments, decks, production documents, and commercial deliverables.
Operational Excellence- Build systems, templates, and processes that reduce friction and increase CEO efficiency.
- Help maintain internal org structure, coordinate cross-team communication, and support onboarding of new team members.
Qualifications- 3+ years supporting a C-suite executive, founder, or producer — ideally in tech, entertainment, advertising, or a fast-growth startup.
- Exceptional written and verbal communication skills.
- Highly organized, detail-oriented, and able to juggle multiple priorities with accuracy.
- Comfortable operating in ambiguity and solving problems independently.
- Understands the pace of founder-led startups — quick pivots, high output, constant context switching.
- Tech-savvy: G-Suite, Slack, Notion/Asana, CRM tools, scheduling systems.
- Bonus: experience with production workflows, AI tools, VC fundraising, or commercial advertising.
