Position Summary
The Administrative Assistant will provide essential administrative and operational support to the Safety and Field Operations teams. This role focuses on coordinating schedules, managing documentation, assisting with timesheet and payroll processes, and maintaining organized records. The ideal candidate is detail-oriented, proactive, and skilled at managing multiple priorities in a fast-paced environment.
Key Responsibilities
- Provide administrative support to the Safety Director and Field Operations Manager.
- Assist with scheduling, timesheet tracking, and general team coordination.
- Review and organize timesheets and related documentation for payroll accuracy.
- Maintain digital filing systems for safety, compliance, and operational records.
- Schedule and coordinate meetings, training sessions, and team communications.
- Prepare and update reports, forms, and correspondence as needed.
- Handle confidential information with professionalism and discretion.
Qualifications
- 2+ years of administrative or virtual assistant experience.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams, SharePoint).
- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Ability to multitask and manage time effectively in a remote setting.
- Experience supporting multiple managers or departments preferred.
