Job Summary
The Administrative Associate plays a key role in supporting HousingToHome’s internal operations, communication processes, human resources functions, and employee experience. This role directly reports to the Associate Director of HR & Administration and provides administrative support to the entire HTH team. The ideal candidate is organized, proactive, friendly, tech-savvy, resourceful, and enjoys supporting multiple projects at the same time.
Responsibilities and Duties
Job Responsibilities and Duties include, but are not limited to:
Administrative Operations
- Maintain and edit the HousingToHome website.
- Set up DialPad numbers and voicemail boxes for employees and sites.
- Participate in and support site setup meetings.
- Manage the HTH Swag Store and ordering access.
- Order supplies with prior Finance approval.
- Order employee IDs and virtual business cards.
- Manage FedEx and mailing needs for senior leadership and H & K.
Human Resources & Onboarding
- Assist with onboarding site visits for new staff.
- Set up and maintain electronic employee files.
- Set up, manage, and close employee emails and group distribution lists.
- Collect, correct, and save employee reimbursements and submit to Finance.
- Complete employment verification requests.
Communications & Scheduling
- Manage sending calendar invitations and scheduling support for Katie and Hannagh.
- Calendar management, including scheduling All-Staff Meetings, internal deadlines, and tracking approved PTO.
- Create internal and external newsletters using current templates.
- Create and manage regular postings of social media content on the company's LinkedIn and Facebook
- Maintain and update employee birthday and anniversary lists.
- Manage staff gift distribution following the provided guidelines and approvals.
- Manage the HousingToHome main phone line calls and voicemails. Forward them to the appropriate staff and call back as needed to get information or a message.
Recruitment & Professional Support
- Coordinate, schedule, and conduct first-round candidate interviews.
- Assist with RFP development, writing, editing, and project task lists.
- Provide Level 1 technical assistance for HTH applications and systems
- Assist the Associate Director of HR with preparing and facilitating agendas for All-Staff Meetings.

- Available to travel regularly to new sites, which are in different cities and states across the U.S.
