We are looking for a highly motivated
Clerical Assistant / Office Administrator to join our growing team in a remote capacity. This position requires an organized, proactive, and detail-oriented individual to assist with day-to-day administrative tasks, support office functions, and interact with clients and team members in a virtual environment.
As a Clerical Assistant, you will be expected to manage administrative tasks efficiently, assist with document handling, communicate effectively, and maintain an organized digital workspace.
Key Responsibilities:
- Administrative Support:
- Perform general office tasks such as scheduling, file management, and data entry.
- Assist with the creation and formatting of reports, presentations, and internal documents.
- Coordinate and organize virtual meetings, including calendar management, video calls, and follow-up tasks.
- Client Communication & Support:
- Respond to client inquiries in a timely and professional manner via email, phone, or chat.
- Maintain a high standard of customer service, assisting clients with general questions, administrative issues, or process inquiries.
- Ensure that all client-related communication is tracked, documented, and addressed effectively.
- Data Entry & Record Maintenance:
- Manage, organize, and maintain digital files and customer records, ensuring data accuracy and accessibility.
- Update customer profiles and account information in our CRM and internal systems.
- Office Organization:
- Keep track of office supplies and order materials as needed to ensure smooth office operations.
- Assist with onboarding of new team members, including setting up accounts, access to necessary platforms, and distributing initial materials.
- Experience:
- Minimum of 1-2 years in an administrative or clerical role, including experience with customer support or office administration.
- Previous experience in a remote working environment is a plus.
- Strong Communication Skills:
- Exceptional written and verbal communication skills, with an ability to interact with customers, vendors, and team members professionally.
- Ability to document and communicate information clearly and concisely.
- Organizational Skills:
- Excellent attention to detail and ability to manage multiple tasks simultaneously in a fast-paced remote environment.
- Strong problem-solving skills and ability to handle administrative challenges effectively.
- Remote Work Competence:
- Must have a dedicated, quiet workspace for remote work.
- Self-starter with the ability to work independently and meet deadlines.
Preferred Qualifications:
- Experience working in a financial or banking-related environment.
- Familiarity with project management tools (e.g., Asana, Monday.com).
- Basic understanding of accounting, finance, or bookkeeping.
- Customer service experience, especially related to banking or financial services.
