SUMMARY
The Administrative Assistant Construction Manager plays a vital role in supporting the Construction Team by collaborating with the Director of Construction, Construction Managers (CMs), Project Managers (PMs), and subcontractors. The position assists in coordinating construction and project management processes and maintaining document control for all projects. This role requires strong organizational and communication skills, a proactive attitude, and the ability to work under minimal or general supervision to achieve objectives.
RESPONSIBILITIES
Document Management & Organization
- Maintain an organized electronic filing system for construction-related documents, ensuring quick and accurate access to information.
- Assist in the creation and management of digital project files.
- Perform data entry and data management tasks to keep records up to date.
- Coordinate with CMs, PMs, and subcontractors to ensure timely receipt of deliverables.
- Proactively request missing or overdue documents and track outstanding items.
Meeting Minutes:
- Attend construction and project meetings, taking detailed and accurate meeting minutes.
- Record key discussions, decisions, and action items.
- Distribute meeting minutes promptly to the appropriate project team members.
Project Trackers
- Assist in maintaining and updating project trackers to monitor key deliverables and deadlines.
- Collaborate with CMs to ensure all tracker data is current and accurate.
Drawings
- Review and organize digital drawings in construction software.
- Verify that the latest versions of drawings are correctly uploaded and accessible.
- Request updated drawings as needed.
QUALIFICATIONS
- High school diploma required; associate's degree or relevant certification preferred.
- Previous experience in a construction administrative role, preferably in the solar or renewable energy industry.
- Strong organizational skills, attention to detail, and ability to multitask effectively.
- Excellent communication skills, both written and verbal.
- Proficiency in the Microsoft Office suite, including MS Project and other project management tools. Experience with Procore and Smartsheet is preferred.

Pay: $75,000.00 - $95,000.00 per year
