Job Summary
I'm looking for a highly organized and proactive Virtual Executive Assistant to provide comprehensive administrative support. The ideal candidate is a master multitasker with exceptional communication skills, a sharp eye for detail, and a passion for creating order and efficiency. This role requires a self-starter who can manage a variety of responsibilities with professionalism and discretion.
Key Responsibilities
- Manage and maintain a calendar with precision and foresight
- Prioritize and triage communications, flagging what’s urgent and handling what’s not
- Serve as a gatekeeper for meetings, calls, and communications
- Organize files and folders in OneDrive with clarity and consistency
- Create and manage documents, spreadsheets, and presentations in Microsoft Suite
- Update and prepare weekly reports for department meetings
- Collaborate via Microsoft Teams and leverage Copilot to streamline tasks
- Take meeting notes, track action items, follow-ups, and deadlines with accountability
- Assist with project coordination and deadline tracking
- Perform bookkeeping and bill-pay tasks using QuickBooks
- Conduct proofreading and transcription of documents
- Provide customer service support and manage correspondence professionally
- Maintain organized documentation and support office operations remotely
Required Skills & Experience
- Proven experience as an executive assistant or similar support role
- Expert-level proficiency in Microsoft Office Suite, Copilot, OneDrive, and Teams
- Strong calendar management skills using Microsoft Outlook
- Excellent organizational and time management skills
- Strong written and verbal communication, including phone etiquette
- High attention to detail for data entry, transcription, and document accuracy
- Experience with QuickBooks
- Ability to work independently, proactively, and with discretion
- Previous experience supporting a creative entrepreneur or small business owner is advantageous
