Operations Assistant (Remote) – Staffing Company

We’re looking for a motivated and detail-oriented Operations Assistant to join our growing remote team. This role plays a key part in supporting recruitment, onboarding, and scheduling operations — ensuring our staff are prepared, organized, and ready to shine on every assignment.
Key ResponsibilitiesRecruitment & Onboarding
- Assist in reviewing interview feedback and tracking candidate progress through the hiring pipeline.
- Coordinate and manage the onboarding process for new staff, ensuring completion of paperwork, documentation, and credentials.
- Maintain accurate staff records and compliance files (e.g., right-to-work documents, certifications).
- Communicate with candidates about next steps, expectations, and training materials.
- Help streamline and improve onboarding workflows to create a smooth candidate experience.
Scheduling & Operations
- Support daily scheduling tasks using Nowsta or similar staffing platforms.
- Communicate shift details, confirmations, and updates to staff.
- Track attendance, shift changes, and last-minute coverage needs.
- Collaborate with the operations and account management teams to ensure client requests are fulfilled efficiently.
Administrative & System Support
- Use HoneyBook to assist with client onboarding, document organization, and workflow tracking.
- Prepare reports on staffing levels, onboarding status, and recruitment metrics.
- Keep internal databases, spreadsheets, and communication logs organized and up to date.
- Provide responsive and professional support to both clients and team members.
Qualifications
- 1+ year of experience in operations, HR, or administrative support (staffing experience preferred).
- Proficient in Google Workspace, Nowsta, HoneyBook, or similar scheduling and CRM systems.
- Excellent communication skills — both written and verbal.
- Highly organized and detail-oriented with strong multitasking abilities.
- Comfortable working independently in a remote environment.
- Reliable, self-motivated, and proactive problem solver.
Preferred Skills
- Prior experience with candidate onboarding, HR systems, or interview coordination.
- Knowledge of compliance and documentation requirements for staffing.
- Experience in the hospitality or event staffing industry a plus.
