Key Responsibilities:
- Organize, label, and maintain digital and administrative files for client projects and internal documents.
- Upload and categorize assets, contracts, and reports in shared drives or project management systems.
- Ensure that files are named consistently and stored in the correct folders according to agency standards.
- Support project coordinators and account managers by providing access to project-related materials as needed.
- Monitor file submissions and verify that documents are complete, up-to-date, and properly formatted.
- Assist with version control to prevent duplication or outdated files.
- Maintain confidentiality and protect sensitive client and agency information.
- Track project deliverables and ensure documentation is properly archived once completed.
- Communicate with internal team members to request missing files or confirm details.
- Support administrative tasks such as preparing summaries, compiling reports, or updating spreadsheets.
Qualifications:
- Associate’s or Bachelor’s degree in business administration, communications, or a related field preferred.
- Excellent organizational skills and attention to detail.
- Strong communication skills and ability to follow clear procedures.
- Comfortable working independently in a remote environment.
- Proficiency with digital tools such as Google Workspace, Microsoft Office, and file management systems .
- Reliable internet connection and a quiet, professional workspace.
