Position Overview
The Administrative Assistant will provide day-to-day support to ensure smooth operations and exceptional patient experiences. This is a remote position requiring availability for tasks as needed throughout the day, with a total commitment of approximately 15–20 hours per week.
Key Responsibilities
- Monitor and respond to patient messages and administrative requests in a timely manner
- Manage scheduling, appointment confirmations, and calendar updates for clinical staff
- Assist with patient onboarding, including sending and tracking intake forms and consents
- Update patient records and documentation in our electronic health record (EHR) system
- Handle basic billing and payment tracking tasks
- Communicate professionally with patients, providers, and team members via email, chat, and phone
- Support special projects and other administrative needs as assigned
Qualifications
- 1+ year of administrative, scheduling, or customer service experience (healthcare or telehealth experience preferred)
- Excellent written and verbal communication skills
- Highly organized with strong attention to detail
- Tech-savvy and comfortable learning new software platforms
- Reliable internet connection and quiet workspace
- Ability to be responsive and available for short tasks throughout the day
Preferred Skills
- Experience with telehealth platforms or EHR systems
- Familiarity with HIPAA and patient confidentiality best practices
- Basic knowledge of weight loss, wellness, or healthcare terminology
Compensation & Schedule
- Part-time: 15–20 hours per week
- Flexible schedule with as-needed availability during business hours
