About the role
Virtual-first behavioral health practice seeking a warm, detail-oriented Administrative Assistant to handle front-desk communications, intake/scheduling, insurance verification (incl. VA Medicaid MCOs), and referral/outreach coordination. You’ll discuss therapy logistics (not clinical advice), guide new clients through onboarding, and support clean operations.
Responsibilities
- First point of contact (calls/emails/messages); explain services, fees/sliding scale, Resident-under-supervision option; route crisis calls (911/988/CSB).
- Schedule/confirm/reschedule; manage client portals & forms in SimplePractice (or similar EHR); maintain same-week openings.
- Verify benefits/eligibility (commercial & Virginia Medicaid MCOs), track authorizations, document copays/deductibles, support clean claims/EOB follow-up.
- Coordinate referrals with schools, pediatric/primary care offices, hospitals/psych units, CSBs, nonprofits; send monthly capacity updates.
- Keep digital Business Files organized; maintain scripts/SOP checklists; uphold HIPAA and confidentiality.
- Light marketing admin: update directory availability; post brief Google Business Profile updates (no PHI).
Qualifications
Required
- 1+ year healthcare or behavioral-health admin/front-desk experience (or strong client-facing office experience).
- Excellent phone etiquette and clear, professional writing.
- Working knowledge of insurance basics (deductible, coinsurance, copay, EOB).
- Comfortable with EHRs (SimplePractice preferred), Google Workspace, spreadsheets.
- Reliable Eastern Time availability; organized, punctual, proactive.
- Based in Greater Richmond/Chesterfield and able to attend occasional in-person meetings/outreach.
Preferred
- Experience with Virginia Medicaid MCOs (Aetna Better Health, Anthem HealthKeepers Plus, Molina, Optima/Sentara, UHC Community Plan).
- Coordinating with schools/PCPs/CSBs/hospitals.
- Bilingual (Spanish/English or other).
Compensation & growth
- $18–$20/hr for first 90 days, then raise based on performance (show rate, intake completion, claim clean rate, responsiveness).
- Potential to grow hours/responsibility as the practice scales.
