We’re growing fast, and we’re on the lookout for a confident, capable, and highly organized Executive Assistant to support a senior leader within our firm.
This role is more than calendars and coffee—it’s about becoming a strategic partner. You’ll be the right hand to a key member of our leadership team, helping them stay ahead, stay focused, and stay connected.
Key Responsibilities:
- Provide high-level administrative support to a senior executive, including email, calendar, travel, and meeting logistics.
- Manage and prioritize schedules to ensure efficient use of time and proactive planning.
- Serve as liaison between the executive and internal/external contacts, including clients, staff, vendors, and leadership teams.
- Handle incoming communications with professionalism and discretion; direct inquiries appropriately.
- Support ongoing departmental projects through coordination, communication, and follow-up.
- Prepare agendas, presentations, white papers, and supporting documents for meetings.
- Attend meetings, take notes, and draft minutes or summaries as needed.
- Maintain confidential and sensitive information with discretion and professionalism.
- Manage routine office duties including printing, filing, mail distribution, document preparation, and record-keeping.
- Track and reconcile expense receipts using our accounting platform.
- Assist with departmental coordination and firm-wide collaboration when necessary.
- Provide backup or assistance to other departments or executives as requested.
What We're Looking For:
- Proven experience supporting executives, preferably in a legal, tech, or corporate environment.
- Strong organizational and time management skills; ability to juggle multiple priorities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); familiarity with project management tools a plus.
- High level of discretion and ability to handle confidential information.
- A proactive mindset—someone who anticipates needs, solves problems, and keeps things running smoothly.
- Positive, team-oriented attitude with a strong sense of ownership and accountability.
