Job Summary: The Accounts Receivable / Administrative Assistant will provide financial and clerical support to ensure accurate processing of customer payments, timely collections, and smooth day-to-day office operations. This role requires a detail-oriented professional who can balance accounting tasks with general administrative duties in a fast-paced environment.
- Monitor and manage aging reports, focusing on claims that are greater than 30, 60, and 90 days old to recoup outstanding reimbursements. oDevelop strategies to reduce aging claims and improve cash flow
- Work collaboratively with the credit team to support overall revenue cycle management. oSeek assistance from the Credit Supervisor and colleagues when needed to resolve complex issues.
- Answers customer phone calls. oProvides excellent customer service when interacting with external and internal customers.
- Apply check payments and credit card payments to accounts daily. oCommunicate with customers via text, email and phone calls to address outstanding balances as well as other issues pertaining to non-payment.
- Perform collection calls to customers daily from 61-89, 90+ age accounts. oCreate reports regarding the status of customer accounts as requested.
- Performs other related duties as assigned.
- Answer phones and greet office visitors in a professional manner. oMaintain and organize digital and physical files.
- Assist with scheduling meetings, preparing reports, and coordinating office communications. oProvide support to the sales and operations teams as needed.
- Order office supplies and support general office functions.
Education: Associate degree or higher
Experience: 1–3 years in bookkeeping, accounts receivable, or administrative support (wine & spirits or distribution industry a plus.
- 21 years of age or older oExcellent verbal and written communication skills.
- Proficient in Microsoft Office Suite, Accounting software programs, Dynamic 365 preferred oAbility to work independently and in a fast-paced environment.
- Ability to anticipate work needs and interact professionally with customers. oExcellent organizational skills and attentions to detail.
- Proven ability to build and maintain relationships with clients and co-workers, both in the office and virtually
- Experience in the wine, beverage, or distribution industry. oKnowledge of trade account receivable practices and customer account management.
- Ability to work independently and manage multiple priorities in a fast-paced environment.
