Who we're looking for:
We’re seeking an Executive Assistant who thrives in high-energy environments and excels at keeping everything organized and on track. You’ll support our executive in both professional and personal tasks, ensuring seamless day-to-day operations.
Whether it’s managing a packed calendar, coordinating business and family travel, or juggling podcast schedules, you’ll be the go-to person for streamlining operations and keeping priorities aligned. If you’re proactive, detail-oriented, and thrive in dynamic environments, this is the role for you.
Key Responsibilities:
1. Calendar & Schedule Management
- Manage and optimize the executive’s calendar, ensuring meetings, appointments, and events are well-organized and on time.
- Coordinate and schedule team meetings, including preparing agendas and follow-ups.
2. Travel Coordination
- Handle all aspects of travel arrangements, from booking flights and accommodations to managing itineraries for both business and family trips.
3. Personal & Professional Support
- Provide personal assistance, including scheduling podcasts, organizing medical records, and planning events.
- Maintain and prioritize email communications, ensuring timely responses and follow-ups.
- Handle sensitive and confidential information with discretion and professionalism.
4. Operational Collaboration
- Collaborate with the executive team to ensure seamless day-to-day operations.
- Proactively identify opportunities to streamline processes and improve efficiency.
What You Bring:
Experience:
- 5+ years of experience as an Executive Assistant, particularly in a fast-paced environment.
- Proven ability to manage complex projects and prioritize competing tasks effectively.
Technical Skills:
- Proficiency in tools like ClickUp, Slack, 1Password, Google Drive, Front, and Airtable.
- Strong verbal and written communication skills in English.
Soft Skills:
- Exceptional organizational skills and keen attention to detail.
- Critical thinker with a proactive approach to solving problems.
- Calm under pressure, with the ability to adapt to shifting priorities.
Preferred Qualifications:
- Experience supporting executives in a startup, tech, or venture capital environment.
- Familiarity with managing schedules and priorities for high-profile leaders.
- Background in handling both professional and personal tasks for executives.
