Role: Senior Executive Assistant
Location: Remote US-Based
Essential Functions:
- Executive Support:
- Serve as a liaison between executives, internal teams, and external stakeholders, handling sensitive information with professionalism and discretion.
- Manage executive schedules, including appointments, meetings, and travel, resolving scheduling conflicts and prioritizing time-sensitive matters.
- Draft, edit, and proofread correspondence, reports, presentations, and communications on behalf of executives.
- Coordinate and prepare materials for Board of Directors meetings, Compensation Committee sessions, and investor/shareholder events.
- Calendar and Travel Management:
- Plan and manage complex travel arrangements (domestic and international), including booking flights, accommodations, transportation, and creating detailed itineraries.
- Monitor travel schedules, adjust for delays or changes, and ensure executives are apprised of updates.
- Meeting Coordination:
- Organize and coordinate logistics for meetings, including preparing agendas, materials, and presentations.
- Attend meetings to take notes, document action items, and track follow-ups to ensure timely completion of deliverables.
- Expense and Budget Management:
- Process and review executive expense reports, ensuring compliance with company policies and identifying cost-saving opportunities.
- Provide expert guidance on expense-related matters to the finance/accounting teams.
- Event Planning:
- Organize executive-level events, team-building activities, and employee initiatives, including researching venues, developing guest lists, and overseeing event logistics.
- Collaborate with other executive assistants to coordinate company-wide meetings and provide coverage during absences.
- Administrative Operations:
- Maintain accurate and organized records, including contact lists, contracts, and confidential documents.
- Manage office operations, including supplies, vendor coordination, and building/facility management.
- Support IT and HR operations, including onboarding/offboarding tasks, scheduling interviews, and training coordination.
- Communications:
- Act as the point of contact for communications, including responding to and redirecting inquiries, while maintaining a high level of responsiveness.
- Develop company-wide bulletins, newsletters, and other professional communications on behalf of the executive team.
- Team and Office Support:
- Provide administrative support to finance and HR teams, including document preparation, contract management, and DocuSign assistance.
- Assist in setting up and managing remote office operations and supporting ad hoc payroll processing as needed.
Qualifications:
- Bachelor’s degree in business, administration, or a related field, or equivalent experience.
- Seven (7) years of executive-level administrative experience.
- Proficiency in Microsoft Office Suite and cloud-based tools (e.g., Excel, SharePoint).
The U.S. target annual salary range for this remote, full-time, position is currently set at ($115,000-$135,000). The actual base salary offered for this role will vary depending on job-related knowledge, skills, market factors, experience and considering internal equity. In addition, to the base salary, CG Oncology offers a very attractive set of Total Rewards (including bonus and equity) and Well-Being Benefits provided as part of the overall compensation package for this role.
