Position Overview
We are seeking an experienced Executive Assistant to provide comprehensive administrative support to the Operations organization. This role offers broad exposure to Operations policies and practices and requires a proactive and detail-oriented individual capable of managing projects and deadlines with minimal supervision.

Responsibilities
- Calendar Management: Proactively coordinate and schedules the team’s virtual and in-person meetings and presentations, preparing agendas, supporting presentation materials and detailed itineraries including travel arrangements.
- Travel & Expenses: Manage travel and expense accounts for assigned leaders, ensuring accurate records and timely processing.
- Meeting Coordination: Organize and facilitate staff and departmental meetings, including preparing agendas, meeting notes, and following-up / tracking action items.
- Documentation: Create and update presentations, spreadsheets, documents, and correspondence; maintain departmental records and electronic files.
- Onboarding Support: Assist with the onboarding of new team members and manage changes for existing staff.
- Budget Tracking: Monitor and track the departmental budget.
- Team Support: Provide general assistance to the Operations and Transformation team as needed.
Skills and Abilities
- Expert in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, One Note, SharePoint, and video conferencing software).
- Ability to work independently, manage multiple priorities, and handle confidential information with discretion.
- Strong organizational, problem-solving, and communication skills.
- Collaborates well, leveraging strong interpersonal communication and relationship building skills.
- Flexibility and comfort with ambiguity, along with a commitment to continuous learning and process improvement.
- Adherence to company policies and procedures.
- Up-to-date with industry trends and regulatory training requirements.
- Proven ability to collaborate and build relationships across all levels of the organization.
Education
- H.S. Diploma or Equivalent Required and
- College Degree or Paralegal certificate Preferred
Experience
- 7+ years providing administrative support to senior level corporate officers. Required and
Base Salary Range: $80,000 - $110,000
