The Financial Specialist supports the financial health and bookkeeping needs of our clients while serving as a primary point of contact. This role bridges the communication between our bookkeeping team and clients, ensuring all financial systems, reporting, and services are clear, timely, and tailored to each client’s unique needs. The Financial Specialist works closely (along with a Connections Team Member) with clients to understand their goals, address financial concerns, and help them navigate their bookkeeping and accounting processes with excellence. The Financial Specialist is a member of the Ministry Admins Division within Ministry Architects. When working with a client and contract, the Financial Specialist serves as the team leader for the bookkeeping team.
General Responsibilities:
- Client Liaison: Serve as the main point of contact for all bookkeeping and financial matters, ensuring clients feel supported and understood.
- Financial Reporting & Systems Management: Oversee and manage clients' financial systems, ensuring timely and accurate reports are provided. This may include managing client accounts, ensuring reconciliation, and offering strategic advice based on financial data.
- Clear Communication: Maintain consistent and transparent communication with clients, sharing updates, responding to inquiries, and ensuring clarity around financial matters. Respond to all client emails within 24 hours.
- Coordination & Task Management: Act as the coordinator between the bookkeeping team and the client, facilitating the smooth flow of financial data, reports, and any necessary actions. Prioritize tasks based on client needs and deadlines.
- Consultation & Problem-Solving: Provide accounting advice to clients, suggesting improvements or adjustments to their systems to meet their goals. Offer creative solutions to any challenges or inefficiencies that arise in their financial processes.
- Client Education: Educate clients on their financial systems, offering guidance on best practices, compliance, and strategic planning.
- Document Creation & Proofreading: Proofreading and presenting financial documents such as reports, budgets, and forecasts. Ensure clarity and professionalism in all written communication.
- Platform Management: Work with accounting software (e.g., QuickBooks, Xero, Expensify) to track client financial activity. Update and maintain client financial records, ensuring accurate and timely data entry.
- Client Relationship Management: Build and maintain strong, trust-based relationships with clients. Strive for excellence in service, ensuring each client sees you as an essential partner in managing their financial well-being.
This Role Includes, But Is Not Limited To:
- Financial Reporting (e.g., monthly, quarterly reports profit & loss/ income statements, balance sheets)
- Invoice management, processing payments, and tracking accounts receivable
- Budget preparation and financial forecasting
- Contribution processing, fund accounting and pledges
- Reconciliation of accounts and financial statements
- Training clients on financial software and best practices
- Addressing client financial inquiries and troubleshooting issues
- Management of the client’s vendor relations (when applicable)
- Tracking project progress and ensuring financial tasks are completed on time
- Assisting clients with financial data for tax preparation and other regulatory filings (when applicable)
General Skills/Requirements:
- Associate's degree in finance, accounting, or a related field (Bachelor’s preferred)
- Experience in accounting best practices and fund accounting with 5+ years experience working in church/nonprofit finance preferred.
- Strong written and verbal communication skills
- Highly Organized: A strong ability to manage multiple clients and tasks, ensuring deadlines are met and clients’ needs are proactively addressed.
- Time Management: Efficiently manage multiple clients and projects while maintaining quality and timeliness.
- Attention to Detail: Precision in handling financial data and reporting is essential. Small errors can have significant consequences.
- Ability to work independently, manage time effectively, and meet deadlines
- Comfortable with virtual meetings and managing client relationships remotely
- Experience with cloud-based financial management tools preferred. Comfortable learning and adopting new software as needed.
- Excellent Communication Skills: Both verbal and written communication must be clear, professional, and timely.
- Problem Solving: Think creatively to solve financial challenges, providing clients with clear, actionable steps to improve their financial processes.
- Confidentiality: Handle all client financial data with the highest level of confidentiality and professionalism.
Preferred Technical Skills:
- Accounting Software: QuickBooksOnline is our preferred financial tool. Familiarity with QuickBooks Desktop, Church Windows, Breeze, Planning Center, Xero, Expensify, Tallie, is helpful but not required.
- Microsoft Office: Excel, Word, PowerPoint, Outlook
- Google Suite: Gmail, Calendar, Drive, etc.
- Personal Computer with Camera: For video conferencing and client meetings via Zoom or Google Meets
- High-Speed Internet: Required for remote communication and collaboration
Position/Time Commitment:Contractual, part-time, remote position with up to 30 hours/week (maximum). Occasional travel for onsite client visits. The Financial Specialist is an independent contractor for the organization.
Reporting Relationship:The Financial Specialist reports to the Director of Ministry Admins.
Resources and Training Provided:The role includes access to training for the various financial tools and systems used within the organization. Support will be provided by the senior team.
Compensation: This role is aligned with the Ministry Architects career path and pay scale for the 'Specialist' level, with an hourly rate of $40-$55.
