We are seeking a motivated and detail-oriented Real Estate Assistant to support our dynamic real estate team. The ideal candidate will possess strong organizational skills and a passion for customer service, ensuring that our clients receive the highest level of support throughout their real estate journey. This role requires effective communication skills and the ability to manage multiple tasks in a fast-paced environment.
Operations Manager
We are a highly successful, real estate team looking for a dynamic, organized, rounded, dive-right-in kind of person to manage our business. Ideally, you are first and foremost clerically-minded with proficient computer skills and strong organizational skills; you are versed in bookkeeping, file management, and general administrative tasks, yet you are creative and would like to be a part of what makes a small business tick.
You can handle a large load of paperwork and heavy calendaring while running last-minute errands and sweeping the floors before an open house. When you’re done with a task, you look for what’s next, you don’t wait for instruction. You can see a problem and find a solution. You have a knack for social media and would like to have a hand in our marketing efforts. You know PhotoShop, Word/Pages, Excel/Google Sheets, and Quickbooks, all in a Mac environment.
You are calm in a fast-paced and sometimes stressful environment - an even-keeled sensibility is a must. You can manage busy agents with different personalities with finesse. You have strong written and verbal communication with clients.

RESPONSIBILITIES:
Responsibilities include but are not limited to:
OFFICE MANAGEMENT
Have your own computer to utilize. (We will purchase one if you do not have one).
Work from your own home and occasionally in Alameda or Lafayette with one of our team members.
TRANSACTION COORDINATION
Manage and organize all transaction details, dates, reports, and deadlines
Maintain a record of all transaction-related details to be available to the team at all times. Become proficient in using the MLS, Zipforms, Google Drive, etc.
MARKETING ASSISTANCE
Create property statements with photos.
Prepare all materials for Open Houses (statements, signs, etc).
Create email blasts and other marketing communications as instructed. Update social media and Review sites regularly, i.e. Facebook, Twitter, Google Business, Yelp, and Instagram. Brainstorm new blog/web content for our website.
BUSINESS ASSISTANCE
Manage a heavy intake of materials and tasks. Be able to prioritize and manage tasks.
Organized!
Keep up with data entry: lists by date, alphabetical lists, address book, etc.
Maintain company files and records
Maintain proficiency in basic PhotoShop, MS Office (Word, Excel), Keynote, etc.
Manage the team's business schedules.
When necessary, provide access to properties for other agents, contractors, etc.
Perform business-related errands
Previous experience as a transaction coordinator is a plus, but not necessary. Licensed realtor preferred, but not necessary. Must have a car and be able to lift 10-15lbs.
This is a great opportunity for someone who loves real estate and prefers to work in an active support role for the long term. This is not a role for someone who wants to transition into a real estate sales agent.
Work from home but attend weekly or bi-weekly meetings with the team in Lafayette, Alameda or Oakland.
