The California Department of Transportation (Caltrans) is seeking to hire two (2) Student Assistants that will play a crucial role in supporting the management and maintenance of the organization’s webpages as well as assisting with various office management tasks, in a learning capacity, under general supervision. The position requires a blend of technical skills for web content management and administrative abilities for efficient office operations. The ideal candidates are proactive, detail-oriented individuals with strong communication skills and the ability to manage multiple tasks simultaneously.
This is a part-time, temporary, non-benefited, student position. Employment in all positions with University Enterprises, Inc. is dependent upon the mutual consent of University Enterprises, Inc. and the employee. This means that either University Enterprises, Inc. or the employee can, at any time, terminate the employment relationship at will, with or without cause.

F lexible workdays and work hours, Monday – Friday, between 8 AM – 5 PM. The final work schedule will be determined by the supervisor.
Student Assistant and Graduate Assistant employees generally work up to 24 hours per workweek (Sunday – Saturday) during the academic year and up to 40 hours per workweek during breaks; (winter, spring, summer).
- Must maintain a minimum cumulative 2.0 GPA.
- Must complete each term with minimum unit requirements for Undergraduate and Graduate student classifications. Proof will be collected at the end of each Spring and Fall term.
- Basic understanding of web content management systems.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent written and verbal communication skills.
- Strong organizational skills with attention to detail.Ability to work independently and as part of a team.
- Under the amendment to Government Code Section 18220, state agencies shall give preference to a qualified applicant (up to 26 years of age) who is, or has been, a dependent child in foster care, a homeless youth, a formerly incarcerated youth, or a victim of human trafficking.Basic experience with graphic design tools (e.g., Adobe Photoshop, Illustrator).
Duties and Responsibilities
- In a learning capacity, the Student Assistant will generate various correspondence in technical and non-technical areas consisting of letters, memorandums, forms, reports, presentation and charts. Manages the Single Point of Contact (SPOC) inbox for Maintenance (MTCE) Admin services. Tracks and reviews assignments assigned to respective areas. Reviews inquiries and correspondences directed to MTCE Admin. Reviews miscellaneous documents for appropriate format and content. Prepares and maintains files and/or logs specific to areas of responsibility. The Student Assistant will provide excellent customer service to both internal and external stakeholders.
- In a learning capacity, the Student Assistant will direct incoming and outgoing mail, to and from the District Office. Prepares and distributes mail to division staff, answers telephones, and handles calls or takes messages for MTCE Admin. Manage and implement electronic mass mailings for the division.
- In a learning capacity, the Student Assistant will assist MTCE division with website updates and posting requests from MTCE offices. Assists with routine and non-routine meeting setup, coordination, and record-keeping for the division. Record-keeping duties include managing the network drive for the division, assessing and reviewing the physical record location of documents, organizing information, creating documentation, preserving records with historical or compliance value, destroying certain documents, and ensuring the division complies with record management policies.In a learning capacity, the Student Assistant will support MTCE Admin Manager for the purpose of analyzing, editing, editing, resolving problems, and receiving miscellaneous instructions. Arrange and schedule interviews along with preparing interview binders and photocopies of interview material. Complete studies and ad-hoc reports as requested; assist in the preparation of annual and other periodic reports. Collecting data from various sources. Maintaining databases and analyzing collected data and putting it into a format that others can easily interpret. May serve when designated by MTCE Admin management.
Sit for extended periods; frequently stand and walk; manual dexterity and hand-eye coordination; corrected hearing and vision to normal range; verbal communication; use of office equipment including computer workstations, telephones, calculators, copiers, printers and scanners with or without a reasonable accommodation.
Work is performed in a hybrid environment.

The decision to permit an employee to work from home is at the discretion of the supervisor or employer and may, at any time and with or without cause, unilaterally terminate the option to work from home.
