We are a dynamic and agile product design agency seeking a motivated Executive Assistant to join our team on a part-time contract basis, with opportunities for advancement. This position is ideal for individuals who are organized, proactive, and possess exemplary writing skills, particularly in a virtual environment.
Key Responsibilities
- Calendar & Meeting Management: Effectively manage schedules, arrange meetings, and ensure timely execution of appointments.
- Email Management: Oversee the inbox, respond to emails, and maintain clarity and professionalism in correspondence.
- Outreach & Coordination: Facilitate outreach efforts to prospective clients or partners, ensuring polished communication at all times.
- Project & Task Management: Utilize tools such as ClickUp or Notion to maintain organization and adherence to deadlines.
- Client & Vendor Communication: Serve as the primary contact for coordinating with clients and vendors, setting up calls, and ensuring smooth interactions.
- Research & Sourcing: Conduct research on potential leads or vendors, assisting in the compilation of relevant information to support decision-making.
- Updates and Training via Video: Utilize asynchronous tools like Loom for providing updates and conducting training sessions, requiring comfort on camera.
Required Skills
- Exceptional writing abilities and effective communication across various platforms (email, phone, Slack, Loom).
- Highly organized, detail-oriented, and proactive, with a passion for task completion.
- Eagerness to learn and explore new topics.
- Familiarity with marketing tools, including website builders, Google Analytics, and design software like Canva.
- Comfortable multitasking and managing various projects simultaneously.
- Previous experience in remote work, demonstrating the ability to maintain productivity.
- Proficient with technology and quick to adapt to new tools (experience with Slack, ClickUp, and Loom is advantageous).
Qualifications
- Previous experience as an assistant or in a similar capacity is preferred, though we welcome applications from fast learners as well.
