Job Description:
As a Remote Office Assistant at Ravenmill, you will provide essential administrative support to ensure the smooth operation of day-to-day office activities. You will be responsible for managing calendars, coordinating meetings, handling correspondence, and assisting with general office tasks, all while working remotely. Your role is critical in helping our team stay organized, focused, and efficient, so that we can continue to deliver excellent products and services to our customers.
This is a remote, full-time position that requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced, virtual environment.
Key Responsibilities:
- Calendar & Schedule Management: Help manage and coordinate executives’ and team members’ schedules, set up virtual meetings, send reminders, and ensure all logistics are in place.
- Email & Communication Management: Assist with handling emails, drafting responses, organizing inboxes, and prioritizing messages. Communicate with internal teams, customers, and vendors as needed.
- Document Preparation & Organization: Prepare, proofread, and format documents, presentations, and reports. Organize files and maintain an efficient digital filing system for easy retrieval.
- Travel Coordination: Assist with arranging travel plans, including booking flights, accommodations, and transportation, and managing itineraries for remote team members or executives.
- Customer & Vendor Liaison: Act as a point of contact for both internal and external parties, responding to queries, forwarding information, and ensuring seamless communication between teams.
- General Office Support: Perform general administrative tasks such as data entry, filing, copying, and scanning documents. Help with any other clerical duties that support company operations.
- Project Assistance: Provide support for various projects, including tracking deadlines, compiling information, and assisting team members with research or administrative tasks.
- Expense Tracking: Assist with processing expenses, managing receipts, and ensuring proper documentation for reimbursements or budgeting purposes.
Key Skills & Qualifications:
- Experience: At least 1-2 years of experience in an administrative or office assistant role, preferably in a remote setting.
- Strong Organizational Skills: Ability to manage multiple tasks simultaneously, prioritize effectively, and stay organized in a virtual environment.
- Excellent Communication Skills: Proficient in both written and verbal communication. You’ll be interacting with team members, vendors, and customers, so clear, professional communication is key.
- Tech-Savvy: Comfortable using remote collaboration tools (e.g., Zoom, Slack, Microsoft Teams) and office software (e.g., Google Workspace, Microsoft Office Suite).
- Attention to Detail: A meticulous approach to your work, ensuring accuracy in documents, scheduling, and communications.
- Time Management: Strong time management skills and the ability to work independently with minimal supervision while meeting deadlines and expectations.
- Problem-Solving Ability: Ability to think critically, troubleshoot issues, and provide efficient solutions to challenges as they arise.
- Adaptability: Ability to quickly adapt to new tools, systems, and processes in a fast-paced, changing environment.
Preferred Qualifications:
- Experience with project management tools (e.g., Asana, Trello, Monday.com) is a plus.
- Knowledge of basic bookkeeping or expense management is an advantage.
- Previous experience supporting a remote team or in a virtual assistant role is a plus.
