Job Title: Administrative Assistant
Location: New Jersey (remote) with in person availability for meetings

POSITION SUMMARY: The Administrative Assistant will perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to managers and New Jersey team, assisting in daily office needs and managing our company’s general administrative activities.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Perform administrative support duties as requested by managers and legal team and sales staff.
- Receive and resolve telephone calls and e-mail inquiries, as appropriate, or direct to relevant staff.
- Work closely with legal team in assisting with data management of claims files and systems.
- Check and distribute documents and correspondence, as appropriate.
- Update and maintain Customer Record Management (CRM ) data and filing systems.
- Update and maintain title insurance policy database system.
- Take detailed minutes/notes in meetings.
- Coordinate space reservations for New Jersey run events, agent luncheons and sponsorships.
- Assist with CE and CLE programs including credit reporting, maintenance of continuing education records, and coordination of CE and CLE programs.
- Compliance and adherence, at all times, with the organization’s Code of Ethics and Conduct as well as all of our company policies.
- Other duties as assigned.
QUALIFICATION REQUIREMENTS
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
- Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant.
- Proficiency in Microsoft Office (Word/Excel/Outlook).
- Must be able to maintain the highest level of confidentiality.
- Ability to handle sensitive material concerning the organization and its agents.
- Friendly, service-oriented personality with a high degree of professionalism, positive attitude, and ability to motivate others.
- Excellent written and verbal communication skills, with attention to detail.
- Accurate typing, data entry and computer skills a must.
- Demonstrated ability to handle multiple tasks simultaneously.
- Ability to meet designated deadlines.
- High attention to detail, strong organizational and planning skills.
- Proactive problem solver
EDUCATION / TRAINING / OTHER RELEVANT EXPERIENCE
- High School Diploma or GED equivalent required.
- Title Insurance office experience a plus.
