Job Summary
The Athletic & Activities Coordinator for ES/MS plays a key leadership role in the design, implementation, and ongoing enhancement of inclusive, enriching, and developmentally appropriate athletic and activities programs. This position oversees both competitive and developmental athletics in the Elementary School and supports developmental programming in the Middle School, including coordination of the Grades 4–8 After School Activities (ASA) programs.
Working in close collaboration with the Assistant Athletic Director and the Director of Student Activities, this role contributes to the recruitment and supervision of coaches, scheduling, league affiliations, and the planning of festivals and tournaments. Strong communication and organizational skills are essential, as this position helps lead program development and large-scale operations that align with the school’s mission, vision, and evolving community needs.

Preferred Qualifications and Experience
- Bachelor’s Degree (Required).
- Teaching/Education background (Required).
- Bilingual in English and Spanish (spoken and written) Required.
- Previous experience working in Athletic and Activities Administration, coaching, and coordinating student programs.
- Experience coordinating programs and proficiency in registration and student-management systems, including, but not limited to, PowerSchool and SchoolsBuddy.
- Experience building and delivering large-scale tournaments and community events.
Main Duties and Responsibilities
Athletic Program Leadership
- Oversee all competitive and developmental athletics programs for Elementary School (ES) and support developmental programming in the Middle School (MS), ensuring alignment with Nido’s mission and values.
- Lead program design and implementation that promotes student participation, character development, and team culture across sports.
- Collaborate with the Assistant Athletic Director (Upper School) and the Director of Student Activities to ensure program coherence across divisions.
- Work with divisional leadership and coaches to design inclusive athletic opportunities for all students, regardless of skill level.
- Support the planning and supervision of developmental sports festivals and other interscholastic athletic events.
- Liaise with local schools and leagues to find age and stage-appropriate competition and leagues tournaments.
- Assist in managing logistics, travel, communication, and supervision for local and regional tournaments.
- Support communication with parents, staff, and school leadership regarding team selections, schedules, and program updates.
- Provide leadership in identifying and hiring skilled coaches who model the school’s core values and commitment to student development.
- Support coaches with regular feedback, resources, and professional growth opportunities.
- Promote positive school spirit and student engagement in sports through events, assemblies, and recognition of athletic achievements.
Program Development & Leadership
- Lead the design and execution of a diverse, high-quality After-School Activities (ASA) program for Grades 4–8, grounded in the school’s values and responsive to student interests and community needs.
- Continuously refine and enhance program offerings using semestral survey data, instructor input, and parent feedback.
- Collaborate with academic and co-curricular teams to ensure programs complement classroom learning and support student development.
Staffing & Instructional Quality
- Recruit, hire, and train a diverse team of dedicated instructors to ensure enriching, engaging learning experiences.
- Support the ongoing professional development, coaching, and support to uphold high standards of instructional quality and student engagement.
- Foster a culture of collaboration, feedback, and continuous improvement among instructors.
Student Support & Inclusivity
- Collaborate closely with counselors and Student Support Services to create an inclusive program that supports the social, emotional, and developmental needs of all students.
- Meet regularly with the counseling team to proactively identify supports for students in ASA.
- Ensure safety, supervision, and positive behavior supports are consistently applied across all programs.
Operations & Safety Management
- Oversee the registration process for ES and MS students, managing the SchoolsBuddy portal and course database.
- Ensure adherence to all school safety, supervision, and child protection protocols.
- Report, investigate, and follow up on discipline concerns in partnership with divisional leaders, following Student Conduct and Learning (SCL) protocols.
- Liaise with the Health Unit to support student safety and well-being during extended hours.
- Coordinate with Transportation Services to ensure safe and reliable late busing for program participants.
Budget & Administrative Oversight
- Collaborate on developing and managing the ASA budget (PK-G8) to ensure long-term sustainability and effective resource allocation.
- Ensure instructor payroll is fully covered by student ASA fees; regularly review and adjust program pricing as needed.
- Collaborate with HR to ensure efficient contract process, onboarding, and end-of-semester finiquitos for instructors.
- Liaise with HR, IT, and Finance departments to ensure timely and efficient payment and system support.
Family & Community Engagement
- Communicate proactively and effectively with families, instructors, and staff in both English and Spanish.
- Respond to parent inquiries in a timely, supportive, and solution-oriented manner.
- Administer and analyze end-of-year and semestral surveys to inform decision-making and enhance family satisfaction.
