Job Description:
We’re looking for a proactive, resourceful, and highly organized Operations Assistant to provide high-level support to the Founder and help bring structure, clarity, and efficiency to day-to-day operations.
This role is ideal for someone who thrives in a fast-moving environment, anticipates needs before they’re spoken, and can confidently take ownership of priorities, follow-ups, scheduling, and logistics.
You’ll serve as the operating backbone for leadership — ensuring meetings are prepared for, tasks don’t fall through the cracks, and the Founder can stay focused on selling, decision-making, and building the business rather than managing admin details.
The ideal candidate is not just task-oriented — they are systems-minded, highly dependable, and able to create an organized working rhythm with leadership.
Key Responsibilities:
Day & Priority Management (Non-Negotiable)
- Own and manage the Founder’s calendar, including scheduling, preparation, and thoughtful buffers.
- Build daily agendas and highlight the top 3 priorities each day.
- Review upcoming meetings and provide quick prep summaries (who, why it matters, what needs to be decided).
- Track follow-ups across Slack, email, meetings, and documents so nothing gets forgotten.
- Maintain visibility into what’s pending, blocked, or awaiting decisions — and push items to completion.
- Create a clear, repeatable update system so leadership always knows what’s in progress and what’s done.
Lifestyle & Logistics Support
- Coordinate domestic and international travel, including flights, accommodations, itineraries, and confirmations.
- Handle logistical tasks that pull leadership out of flow (booking client coffees/dinners, researching options, scheduling plans).
- Take ownership of “random but important” requests end-to-end, ensuring leadership can delegate with confidence.
Sales Administration
- Update CRM records with leads, stages, notes, and outcomes.
- Log outreach activity and responses consistently.
- Schedule sales calls and support follow-up coordination.
- Prepare simple weekly sales summaries showing pipeline movement, activity, and next steps.
- Organize sales-related information so it is always easy to reference and up to date.
Systems & Process Organization (How You Work With Leadership)
- Build a structured operating process for how tasks are delegated, tracked, completed, and communicated.
- Turn real-time workflows into clear systems such as:
- Checklists
- SOPs
- Templates
- Maintain organized documentation in Notion as a single source of truth.
- Proactively flag inefficiencies, duplicated work, unclear ownership, or time drains.
- Suggest and implement improvements that make leadership’s workload lighter and operations more repeatable.
Tools & Systems:
- Notion — dashboards, documentation, SOPs, centralized systems
- Claude (Anthropic) — AI-assisted drafting, summarization, research, and workflow support
- ClickUp — task tracking, priorities, timelines, follow-ups
- Google Workspace (Docs, Sheets, Drive)
- Slack — communication and coordination
- Zapier or Make.com (preferred but not required)
Qualifications:
- Proven experience as an Executive Assistant, Operations Assistant, or in a similar role supporting leadership.
- Extremely strong organizational skills with a detail-oriented and Type A approach.
- Excellent written communication and ability to summarize clearly.
- Comfortable following up confidently and ensuring closure on tasks.
- Skilled in Google Workspace and familiar with CRM tools (or willing to learn quickly).
- Comfortable using AI tools such as Claude to accelerate drafting, research, and communication tasks.
- Strong judgment, discretion, and professionalism when handling sensitive matters.
- Calm under ambiguity — able to build structure while things evolve.
- Proactive self-starter who anticipates needs and takes ownership without waiting for instructions.
- Systems-minded: able to turn messy inputs into clear, repeatable processes.
