Position Overview
The Business Administrative Associate (BAA) plays a critical role in supporting the Lead Agent and team by managing operational workflows and client administration. This position ensures smooth day-to-day operations through effective communication, organization, and follow-through.
A key focus of this role is tracking, reporting, and managing new business and pending cases, ensuring data accuracy and a high-quality client experience. The BAA works closely with Agents, clients, and internal teams, requiring strong attention to detail and excellent communication skills.
Key Responsibilities
1. Client & Agent Communication
- Serve as the primary point of contact for clients
- Respond promptly to calls, texts, and emails
- Coordinate communication between clients and internal teams
- Send meeting notes, action items, and recordings
- Support referral introductions and external communications
2. Calendar & Email Management
- Schedule and confirm meetings with clients, prospects, and partners
- Ensure next-day appointments are confirmed
- Monitor inboxes and take timely action
3. Pending Business & CRM (Cloven) Management
- Track and manage tasks, opportunities, and case statuses
- Maintain accurate client records and data integrity
- Monitor underwriting requirements and follow up proactively
- Provide clear updates to clients and Agents throughout the process
4. New Business Support
- Coordinate client meetings for policy review and onboarding
- Prepare and send settlement paperwork
- Complete new business forms and documentation
- Ensure Agents are fully prepared for client interactions
How Success is Measured
- Consistent adherence to service timelines
- High-quality, proactive client communication
- Timely policy settlements (within 48 hours of issue)
- Achievement of weekly performance metrics (e.g., people served, policies settled)

Qualifications
- Previous administrative, operations, or client service experience preferred
- Experience with CRM systems (Cloven or similar) is an asset
- Strong proficiency in email, calendar management, and digital tools
- Ability to manage multiple priorities in a fast-paced environment
- Insurance experience and Life licensing are considered assets.
