ABOUT THE ROLE
We’re looking for a highly organized, detail-oriented Executive Assistant with a strong focus on travel coordination and event planning. This role is centered around helping plan, schedule, and execute retreats, events, and travel experiences, while also supporting day-to-day administrative needs.

KEY RESPONSIBILITIES
Travel & Event Coordination (Primary Focus):
- Research, plan, and book domestic and international travel (flights, hotels, ground transport, visas)
- End-to-end coordination of retreats, off-sites, and group travel experiences
- Negotiate with vendors, venues, and service providers to secure optimal rates
- Build detailed itineraries with contingency plans and real-time adjustments
- Serve as primary point of contact during travel events, resolving issues swiftly
- Track budgets, process expenses, and reconcile travel-related invoices
- Source and vet retreat venues — wellness centers, private estates, and unique properties
- Coordinate catering, activities, A/V, and special requests for on-site events
Administrative & Personal Support:
- Manage and maintain personal and business calendars
- Schedule meetings, calls, and appointments efficiently
- Handle email organization and basic correspondence
- Assist with miscellaneous administrative tasks as needed
- Help streamline systems and improve organization
IDEAL CANDIDATE
- Strong organizational and time management skills
- Experience with travel planning and/or event coordination preferred
- Excellent communication and problem-solving abilities
- Ability to multitask and prioritize in a fast-moving environment
- High attention to detail and follow-through
- Tech-savvy and comfortable with scheduling and productivity tools
