We are seeking a proactive and detail-oriented Executive Assistant to support our Founder & CEO and contribute to the smooth functioning of our business operations.
Job Summary
The Executive Assistant will play a pivotal role in ensuring the efficiency of administrative, operational, marketing, and executive functions. This position requires a highly organized individual who can manage multiple priorities, maintain confidentiality, and work independently to support the company’s goals.
Key Responsibilities
1. Administration & Financial Coordination
- Manage client invoicing, estimates, payment tracking, and reminders to ensure timely receipts.
- Track bills, business expenses, and assist with bookkeeping in coordination with the accountant.
- Process payments to overseas vendors, maintain vendor records, and monitor cost savings.
- Create and maintain essential business forms, including invoices, RFQs, NDAs, and packing lists.
2. Operations & Vendor Management
- Coordinate production activities with local and overseas manufacturers.
- Handle RFQs, negotiate costs, and document vendor performance.
- Oversee part labeling, packaging, delivery logistics, and conduct manufacturer audits.
- Resolve day-to-day production challenges and streamline operational workflows.
3. Marketing & Communication
- Manage and maintain the company’s social media accounts (LinkedIn, Instagram, etc.).
- Collaborate with the marketing team to generate leads, publish posts, and track engagement metrics.
- Assist in creating product visuals, promotional materials, and planning marketing campaigns.
4. Executive & Strategic Support
- Organize the Founder’s schedule, meetings, and communications.
- Prepare summaries, reports, and project updates for internal and external stakeholders.
- Handle confidential business information with discretion and professionalism.
- Provide support for daily operational and administrative tasks as needed.
Qualifications & Skills
- Strong organizational, multitasking, and communication skills.
- Proficiency in QuickBooks, Google Workspace, and Microsoft Office.
- Familiarity with logistics, RFQs, and vendor coordination.
- Ability to work independently, prioritize tasks, and maintain attention to detail.
- A proactive mindset with the ability to manage multiple priorities effectively.
