Scheduling Coordinator (Full-Time | Remote Option)
Pay: $23–$25 per hour
Hours: 25+ hours per week
Location: Remote (with occasional in-person meetings in the Inland Empire area)

About the Role
We are seeking an administrative assistant who thrives in a fast-paced environment, is detail-oriented, and enjoys supporting a team that makes a real impact. This individual will be responsible for managing daily operations, answering phone calls, supporting with questions from clients or partners, and maintaining clear communication across the organization.
Responsibilities:
- Ensure all client sessions are staffed and confirmed daily
- Communicate schedule changes promptly and professionally
- Maintain accurate records of staff availability and client hours
- Collaborate with supervisors to address scheduling gaps or conflicts
- Support administrative tasks related to scheduling and reporting
Requirements:
- Strong leadership skills and ability to work independently and interdependently
- Support day-to-day administrative operations of the organization, ensuring efficient workflow and communication.
- Assist with client intake processes, including organizing documents, sending intake packets, and maintaining client records.
- Maintain and organize electronic files and documentation in accordance with company and compliance standards.
- Support communication with families, staff, and service coordinators, responding to general inquiries and routing messages appropriately.
- Assist with scheduling support, including coordinating appointments, meetings, and staff calendars when needed.
- Provide administrative assistance with billing preparation and documentation tracking as directed by leadership.
- Monitor and organize incoming emails and office correspondence to ensure timely responses and follow-ups.
- Assist leadership with data entry, reports, and administrative projects as needed.
- Help maintain office organization, supply tracking, and general administrative support for the team.
- Minimum of 1–2 years of administrative experience (preferably in healthcare or behavioral services)
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
- Proficient in Microsoft Office
- Professional and compassionate approach when working with staff and families
