Scheduling Coordinator (Full-Time | Remote Option)

About the Role
We are seeking an administrative assistant who thrives in a fast-paced environment, is detail-oriented, and enjoys supporting a team that makes a real impact. This individual will be responsible for managing daily operations, answering phone calls, supporting with questions from clients or partners, and maintaining clear communication across the organization.

Responsibilities:

Ensure all client sessions are staffed and confirmed daily
Communicate schedule changes promptly and professionally
Maintain accurate records of staff availability and client hours
Collaborate with supervisors to address scheduling gaps or conflicts
Support administrative tasks related to scheduling and reporting

Requirements:

Strong leadership skills and ability to work independently and interdependently
Support day-to-day administrative operations of the organization, ensuring efficient workflow and communication.
Assist with client intake processes, including organizing documents, sending intake packets, and maintaining client records.
Maintain and organize electronic files and documentation in accordance with company and compliance standards.
Support communication with families, staff, and service coordinators, responding to general inquiries and routing messages appropriately.
Assist with scheduling support, including coordinating appointments, meetings, and staff calendars when needed.
Provide administrative assistance with billing preparation and documentation tracking as directed by leadership.
Monitor and organize incoming emails and office correspondence to ensure timely responses and follow-ups.
Assist leadership with data entry, reports, and administrative projects as needed.
Help maintain office organization, supply tracking, and general administrative support for the team.
Minimum of 1–2 years of administrative experience (preferably in healthcare or behavioral services)
Strong organizational and multitasking skills
Excellent written and verbal communication skills
Proficient in Microsoft Office
Professional and compassionate approach when working with staff and families
