Aikawa Fiber Technologies (AFT) Inc. is a world leader in the manufacture of screening, refining and paper machine approach equipment and components for the pulp and paper industry.AFT has manufacturing facilities, service hubs and sales force located in Brazil, Canada, China, Finland, Japan, South Korea and United States.
We’re currently looking for an Executive Assistant to be a supportive force who empowers our senior leadership. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention for details. This position will report directly to the COO | Executive Director – Manufacturing of AFT to perform administrative tasks.
Main responsibilities are:
• Work closely with the COO to collect and assimilate information from global sources important to the management of the company, including manufacturing and sales data, client management, and other company logistics.
• Coordinate complex scheduling and calendar management, as well as the content and flow of information for the Executive Leadership Team. Including some specific tasks to support the CFO and VP & GM – Americas.
• Provide effective and efficient administrative and office support.
• Maintain professionalism and strict confidentiality with all documents and information.
• Organize team communications and plan events, both internal and off-site.
• Facilitate activities to ensure the most efficient and effective use of the COO’s time.
You have:
- Five or more years of experience in an administrative role reporting directly to executive management; preferably working for a manufacturing company, bank, legal or accounting firm.
- Excellent written and verbal communication skills.
- Strong time-management skills and an ability to organize and coordinate multiple concurrent projects. Priority management is critical.
- Proficiency with office productivity tools and an aptitude for learning new software and systems. Proficiency in Microsoft Office Suite and other relevant software.
- Attention to detail and ability to adapt to current expectations.
- Ability to anticipate needs and proactively address issues.
- Ability to maintain confidentiality of information related to the company and its employees.
You are:
- Fluent in English, other languages a plus.
