Position Overview: We are seeking a highly motivated Personal Legal Assistant to join our dynamic team at the Illinois Hammer Injury Law Firm. With a team of experienced attorneys, we are dedicated to providing exceptional legal representation to our clients. As an Administrative Support Assistant, you will provide daily administrative, reporting, and workflow coordination support to the Support Manager and broader team. This role ensures smooth operational processes by managing calendars, monitoring case activity, distributing reports, and assisting with communication across multiple departments. The ideal candidate is detail-oriented, organized, and able to manage recurring tasks and time-sensitive responsibilities in a fast-paced environment.
Responsibilities:
1. Daily Operational Support: The Operations Support Assistant reviews Daily Outs Emails to track team availability and coverage, updates the Staff Activity Report, and manages Medical Referral Emails and SA Push Email verification. The role includes providing daily case updates to Movedocs and maintaining reporting for folders, categories, and sub-categories to ensure systems stay accurate and current.
2. Reporting and Analytics: This role oversees several recurring reports, including the LAs Case Count Report each Monday and the Social Media Text Log every Friday. Weekly tasks include running the Overdue Client Contact Report and reporting on cases that have remained in their status too long. These reports help identify delays and improve workflow efficiency.
3. Calendaring and Coordination: Daily calendar monitoring prevents overbooking and keeps schedules running smoothly. The assistant helps coordinate trainings, refreshers, and team events as needed, and prepares a monthly team meeting recap to support clear communication and alignment.
4. Case and Team Support: The Operations Support Assistant provides system and administrative support such as updating RingCentral call forwarding, assisting with Medicare portal login issues, and coordinating police report tasks. The role also assists the Health Insurance Specialist and other team members when needed.
5. General Administrative Support The assistant responds promptly to internal requests, maintains accuracy and confidentiality in all documentation, and supports the Support Manager with additional operational or project-based tasks as required. Flexibility and reliability are essential traits in this role.
Qualifications:
- Strong verbal communication skills with a demonstrated sense of empathy
- Proficiency in Microsoft Office applications
- Experience with Personal Injury client database software
- Prior experience as a Case Manager, Legal Assistant, or in a similar role within a law firm is preferred
- Ability to work both independently and collaboratively in a fast-paced environment
- A Bachelor's degree in Pre-Law, Legal Studies, or a related field is preferred, but not required
