Apex 360 Systems is seeking a reliable, organized Office Assistant to support our growing healthcare consulting operations. This position is employed by Apex 360 Systems and is remote Monday-Friday 8am – 5pm EST.
The ideal candidate is detail-oriented, dependable, and comfortable supporting multiple healthcare organizations in a fast-paced, professional environment. Prior experience in prosthetics and orthotics is mandatory.
Key Responsibilities
- Serve as a primary point of contact for patients, staff, and vendors, providing professional and courteous support
- Manage multi-line phone systems, route calls appropriately, and respond to patient inquiries
- Manage patient workflow in our O&P practice management software (Nymbl), including: • Patient intake and registration • Scheduling coordination and logistics • Insurance verification, eligibility checks, and patient financial responsibility • Prescribing physician device summaries, documentation review, and prescription management • Insurance prior authorizations • Insurance record requests and denial appeals • Payment collection
- Maintain accurate digital and physical records, including data entry and document proofreading
- Handle email correspondence and administrative communications in a timely manner
- Assist with general office operations including filing, supply management, and clerical tasks
Qualifications
- 2 years’ experience required in prosthetic and orthotic office setting
- Experience with Nymbl practice management software strongly preferred
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Excellent phone etiquette and written/verbal communication skills
- High attention to detail and accuracy with documentation and data entry
- Ability to manage multiple priorities across different companies and workflows
