Key Responsibilities:
The position duties and responsibilities include, but are not limited to:
Administration, Accounting and Business operations support:
- Track Purchase Orders, submit invoices and complete vendor registrations.
- Maintain accounts payable and accounts receivable and complete reconciliation.
- Work with ISS clients on invoice payment follow-ups and statement requests.
- Assist in, review and monitor all banking functions.
- Utilize and continually improve ISS project management tool to track project deliverables, prepare invoices, and analyze financial performance.
- Review filed expenses from team and submit expense reimbursements.
- Make payments to vendors.
- Assist in reviewing and supporting CPA in accounting and taxation matters. Liaise ISS CPA and staff as needed.
- Ensure coordination with third party providers for maintaining business insurance coverage and business compliance requirements.
- Assist in continued administration of ISS retirement 401k plan.
- Review and update ISS policies annually in coordination with global project managers.
- Assist in hiring professionals and facilitating staff performance review.
- Schedule periodic financial review meetings with global offices.
Marketing, Training and Business Development:
- Coordinate ISS participation in national and international conferences.
- Support business development by sending monthly updates and newsletters.
- Provide web design support periodically and support website maintenance and updates as needed.
- Maintain digital recordkeeping of official letters and files in coordination with ISS team.
- Maintain and continually enhance ISS database management and storage.
- Develop and implement ISS annual training plan and schedule, and support coordination of training program execution with ISS trainers.
- Provide support on all office administration matters, as needed.
- Participate in weekly (or more frequent) update call with US and EU Project Managers.
Required Skills And Abilities
- Must have strong interpersonal skills, including professional tact and diplomacy.
- Must be able to handle sensitive and confidential information.
- Must have working knowledge of a variety of computer software applications including word processing, spreadsheets, email, and presentation software (MSWord, Excel, Outlook, PowerPoint, and Teams), and other technical software and database (SharePoint, etc.) programs.
- Must have strong working knowledge of common invoicing platforms, including SAP Ariba and other invoicing platforms.
- Must possess strong business development skills.
- Must have strong presentation skills.
- Must possess good business writing, editing, and proofreading skills; work requires continual attention to detail, establishing priorities, and meeting deadlines.
- Must have the ability to read, analyze, and understand information and ideas presented in writing.
- Must be able to produce and disseminate correspondence (i.e. emails, letters, etc.) as requested
