Position Overview
We are seeking an experienced Probate & Trust Administration Paralegal who will not only manage a caseload of probate and trust matters but also lead and support a small team of paralegals and legal assistants. The ideal candidate is detail-oriented, proactive, and comfortable taking ownership of workflow management, training, and quality control.

Key Responsibilities
Probate & Trust Administration
- Prepare, file, and track probate documents, including petitions, notices, inventories, accountings, and closing statements.
- Assist with trust administration tasks, including trustee correspondence, asset marshaling, retitling, and distributions.
- Draft legal documents such as affidavits, deeds, consents, receipts, reports, and settlement documents.
- Maintain case calendars, deadlines, and task lists.
- Communicate professionally with clients, courts, financial institutions, and beneficiaries.
- Support attorneys with case preparation, document organization, and client meetings.
Team Management & Leadership
- Oversee daily workflow for the probate/trust team and ensure timely completion of tasks.
- Train new team members and provide ongoing coaching and mentorship.
- Establish and update internal procedures to maintain consistency and efficiency.
- Review work product for quality and compliance with firm standards.
- Coordinate team meetings, workload distribution, and process improvement initiatives.
Qualifications
- 5+ years of experience in probate and/or trust administration required.
- Prior team leadership or supervisory experience strongly preferred.
- In-depth knowledge of probate court procedures and trust administration practices.
- Strong organizational skills with the ability to manage multiple deadlines.
- Excellent verbal and written communication skills.
- High level of professionalism, empathy, and client-service focus.
- Proficiency with case management software (e.g., Clio, MyCase) and Microsoft Office Suite.
