Role Overview
We are seeking a high-functioning Executive Assistant to serve as the primary execution arm for the Founder. This is not a traditional administrative role; it is a force multiplier position designed for a brilliant generalist who thrives on variety, autonomy, and the challenge of turning high-level vision into operational reality.
You will act as the connective tissue across the organization—researching new initiatives, managing complex projects that don’t yet have a permanent home, and ensuring that the Founder’s priorities move forward without constant oversight. This role operates with high autonomy in execution, but does not independently make strategic, financial, or regulatory decisions without Founder approval.

The Mission
Your goal is to protect the Founder’s focus. You will handle the how so the Founder can focus on the what and why. If a project is critical but does not yet justify a dedicated role, you will own execution until it is stabilized and ready to be handed off.

Core Responsibilities
1. Strategic Project Execution
• Translate high-level concepts or “brain dumps” from the Founder into structured project plans, task lists, and timelines.
• Own execution of special projects from intake through completion, including coordination, follow-up, and handoff once stabilized.
• Coordinate cross-functional efforts to ensure nothing falls through the cracks between departments.

2. Research & Information Synthesis
• Conduct deep-dive research into new markets, tools, vendors, or operational requirements and provide clear, bottom-line summaries for decision-making.
• Prepare briefing materials and executive summaries ahead of key meetings.
• Draft high-level communications, decks, and process outlines for the Founder’s review.

3. Operational Floater & Process Support
• Provide temporary, time-bound execution support across departments during workload spikes, transitions, or special projects.
• Identify gaps or inefficiencies in workflows and document them into repeatable, scalable SOPs.
• Act as the closer for unresolved tasks that sit between departmental ownership lines.
• Support departments on a project or coverage basis, not as a permanent replacement for operational roles.

4. Executive Interface & Follow-Through
• Manage the Founder’s schedule with a focus on priority alignment and deep work protection.
• Attend meetings alongside (or on behalf of) the Founder to capture decisions, action items, and deadlines.
• Drive follow-up with internal and external stakeholders to ensure completion.
• Escalate decisions, risks, or tradeoffs requiring Founder input with clear context and recommended options.
• Serve as a liaison and gatekeeper to reduce unnecessary interruptions while ensuring progress continues.

Qualifications
• 3+ years of experience in a fast-paced or high-growth environment (Executive Assistant, Project Coordinator, Operations, or similar).
• Exceptional written communication and organizational skills.
• Proven ability to manage multiple, unrelated workstreams simultaneously.
• High proficiency with modern productivity, research, and project management tools.
Pay: $3.00 - $4.00 per hour
Expected hours: 25.0 per week
