The Administrative Assistant - Nursing provides comprehensive administrative and operational support to the Dean, College Leadership, and Clinical Team. This role is integral to the coordination of academic, clinical, and accreditation-related activities, ensuring smooth communication and efficient processes across the College.
PRINCIPAL DUTIES & RESPONSIBILITIES
- Provide high-level administrative assistance to the Dean, College Leadership, and Clinical Team.
- Manage calendars, meeting requests, email inboxes, and phone communications to ensure timely and effective information flow.
- Generate and manage professional correspondence including letters, memos, emails, faxes, and meeting minutes.
- Perform additional administrative duties as assigned, maintaining efficiency and discretion with minimal supervision.
Academic & Clinical Coordination
- Assist with faculty and student communications, including announcements, reminders, and coordination of academic and clinical events.
- Support onboarding and documentation processes for leadership, faculty, preceptors, and adjunct instructors.
- Maintain current clinical site lists and upload student clinical documentation to appropriate repositories.
- Coordinate logistics for College meetings, labs, and events (e.g., Accreditation visits, Colorado Lab, Town Hall, Clinical Meet & Greet).
- Inventory, order, and maintain lab supplies and equipment.
Compliance & Accreditation
- Support College affairs related to accreditation alignment, Board of Nursing requirements, and affiliate partner compliance.
- Assist with the Affiliation Agreement process
- Ensure documentation and all communications align with FERPA and HIPAA regulations.
Data & Reporting
- Create, maintain, and manage College repositories and databases.
- Collect, enter, and compile data for various reports and reporting systems.
- Develop and prepare reports to support College initiatives, meetings, and performance metrics.
- Retrieve and maintain student files in accordance with institutional policies.
Professional Development
- Maintain a commitment to ongoing professional development.
- Participate in continuing education opportunities relevant to the role.
Other Duties
- Assist with travel logistics for College personnel and guests.
- Perform other duties as assigned to support the mission and operations of the College
QUALIFICATIONS
Education and Experience
- Associate’s Degree
- At least 2 years experience in an administrative assistant or similar role
- Bachelor’s degree - Preferred
- Knowledge of clinical documentation software - Preferred
- 5 Years experience in administrative assistant or similar role - Preferred
- Experience in academic or healthcare administration - Preferred
SKILLS & COMPETENCIES
- Proficiency in Microsoft Office Suite, database management, and communication platforms.
- Ability to function with minimal supervision
- Able to follow oral and written directions
- Ability to communicate clearly to diverse audience of students, faculty and staff, as well as the general public
- Must have written communication skills to create edit and proofread business correspondence and reports.
Job Type: Full-time
Pay: $20.89 - $27.40 per hour
